Duties
The three type of positions we could staff with this inventory are:

CR-05 Financial Services Assistant:
This position reports to the Manager of Finance, and supports the financial management and accounting functions of the Agency. Duties will include assisting with budgeting, forecasting, accounting and development and implementation of controls and policies in support of the Agency’s execution of its mandate.

CR-04 Administrative Assistant

The position reports to a Manager, and supports management by planning and coordinating the administrative workflow within the unit. Prepares and produces a variety of documents, reports (both financial and non-financial), creates presentations and maintains electronic files. Plans unit meetings, coordinates training and conference attendance, arranges travel and coordinates claims.

CR-04 Records Mail/Management Assistant

This position reports to the Supervisor of Central Records, and researches and retrieves information/records from Agency information holdings and other information sources. Classifies records, uploads data to appropriate repository. Verifies accuracy of records, creates new files both hard and electronic as needed and conducts file inspections for quality assurance.

Intent of the process
This inventory is for casual employment. Casual employment is a temporary employment of 90 working days or less, in a calendar year, to meet needs arising from such contingencies as vacations, sick and training leaves, to conduct special projects that are anticipated but dependent of the availability of funds, etc.

NOTE: Casual appointments are excluded from the provisions of the Public Service Employment Act (PSEA). This means casual appointments will not be eligible to apply to internal appointment processes. In addition, the PSEA specifies that the number of days worked as a casual worker cannot exceed 90 days in a calendar year within the same department.

EDUCATION:
Successful completion of secondary school diploma or, an acceptable combination of education, training and/or experience.

Degree equivalency

EXPERIENCE 1, 2 AND 3 ARE ESSENTIAL FOR THE 3 DIFFERENT TYPES OF POSITIONS:

1) Experience in working with software applications such as the Microsoft Suite (Word, PowerPoint and Outlook).

2) Experience providing services to internal and/or external clients in person and/or via telephone.

3) Experience in preparing various documents such as correspondence, memos and reports.

EXPERIENCE 4 IS ONLY REQUIRED FOR THE FINANCIAL SERVICES ASSISTANT (CR-5):

4) Experience providing financial support services in reconciling financial transactions; verifying and paying invoices and extracting, reconciling and compiling financial information.

EXPERIENCES THAT COULD BE CONSIDERED AS AN ASSET:
1) Experience in providing administrative support to clients such as reception duties, organization of meetings, conference calls and workshops, and making travel arrangements.

2) Experience with the creation and maintenance of electronic files.

3) Experience in records management such as classifying and indexing records, file maintenance and file disposition.

4) Experience in applying policies, procedures and standards and providing advice in an office environment.

OPERATIONAL REQUIREMENTS:
  • Availability to work overtime on short notice.
  • For some of the positions, must have a valid driver’s license or mobility to the extent normally associated with the possession of a valid driver’s license.
