Overview
We are seeking a detail-oriented and organized Entry-Level Administrative Coordinator & Financial Services Administrator to join our team. This full-time or part-time role offers an excellent opportunity for individuals looking to develop their administrative and financial skills within a professional environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and a proactive attitude to support daily office operations and client services. Experience with medical or dental office procedures, QuickBooks, and Microsoft Office is highly desirable but not required. This position provides valuable experience in administrative support, bookkeeping, and customer service, making it an ideal starting point for a career in office administration or financial services.
Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and providing exceptional customer service
- Perform data entry tasks with accuracy using various software tools such as QuickBooks, Microsoft Office, and Google Workspace
- Maintain organized filing systems both digitally and physically, ensuring confidentiality and easy retrieval of documents
- Assist with appointment scheduling, calendar management, and follow-up communications
- Support bookkeeping activities including invoicing, billing, and basic financial record keeping
- Proofread documents for accuracy and professionalism before distribution
- Handle administrative tasks such as faxing, photocopying, and preparing reports
- Support customer support efforts by addressing inquiries professionally via phone or email
- Assist with medical or dental office procedures if applicable, including patient check-in/out and insurance documentation
Skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar accounting software preferred
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent typing speed and accuracy along with proofreading skills
- Effective phone etiquette and customer service skills for front desk interactions
- Basic clerical experience including filing, data entry, and document management
- Knowledge of multi-line phone systems and appointment scheduling software
- Strong computer skills with the ability to learn new software quickly
- Previous experience in medical or dental office settings is a plus but not required
- Ability to work independently as well as part of a team with a positive attitude
