Job Summary:
- Reports to: Executive Director
- Location: 526 Upper Paradise Road, Hamilton, ON
We are seeking a dedicated Human Resources Generalist to join our team. The ideal candidate will play a key role in supporting HR functions and ensuring the smooth operation of various HR processes.
WHAT WE OFFER:
- Hours of Work: Monday - Friday, 8:30 - 4:30 with flexibility to occasionally work outside of regular hours (*0.8 FTE, 30 HOURS PER WEEK*)
- Target Hiring Wage Range: $33.50/hr. - $38.00/hr.
- 4 weeks vacation
- 3 days of paid time off during December holiday season
- Eligibility for agency benefits after successful completion of probationary period (20/80 premium split between employee and employer)
- Eligibility for agency pension after 12 months of employment
PRIMARY FUNCTIONS AND RESPONSIBILITIES:
Administrative:
- Prepare all employee lifecycle letters, including employment, offer, disciplinary, termination, etc.
- Provide orientation materials and training to new employees.
- Create new employee profiles in Ceridian DayForce and PowerPay.
- Track annual renewals such as annual policy signoffs, police checks, professional association memberships, etc.
- Create and distribute HR related memos to agency.
- Create and revise employee policies and procedures to ensure compliance.
- Review and revise on-boarding/orientation processes.
- Support disability management and return-to-work processes for all leave of absences, including medical and WSIB.
- Create and maintain accurate employee files, including new hire paperwork.
- Research issues and keep up to date with legislative changes.
- Conduct exit interviews and provide summary of facts to executive team.
Leadership:
- Primary point of contact for employee and management HR inquiries.
- Build credibility and trust among employees; resolve employee concerns with care and follow-through.
- Provide guidance and counselling to managers and employees regarding best HR practices.
- Support staff and management in the interpretation and implementation of policies, procedures, and legislation.
- Proactively identify opportunities to enhance the employee experience and partner with management to develop and implement innovative and sustainable solutions.
- Recommend ways and methods of improving the overall employee experience and culture.
- Build relationships with relevant agencies such as educational institutions, recruitment firms, professional associations, vendors, etc.
Benefits:
- Manage group benefits plan and pension enrollments, terminations, and changes.
- Provide assistance to employees regarding inquiries surrounding benefits and pension.
- Take part in benefits reselection process upon annual renewal.
Payroll:
- Complete bi-weekly payroll using Ceridian DayForce and PowerPay.
- Track employee changes and update employee deductions regularly to ensure accuracy.
- Issue and amend ROEs as required.
- Proactively seek solutions to Ceridian platform limitations and liaise with Ceridian to implement changes.
Recruitment:
- Perform full-cycle recruitment activities for both internal and external selection processes, including but not limited to creating/maintaining job descriptions, job postings, pre-screening resumes, scheduling and sitting in on interviews, etc.
- Communicating with Colleges, Universities, and relevant agencies to create a candidate pipeline.
Projects:
- Work with executive team to regularly review and revise the Employee Handbook including processes and policies.
- Key member of On-Boarding committee to create, maintain and revise on-boarding program as necessary.
- Member of SharePoint committee to help drive technology advancements at ASCY.
- Review and revise AODA Policy as required.
- Collaborate with Ceridian to enhance system capabilities to streamline manual processes.
Qualifications:
- Post-secondary education with focus on Human Resources Management
- Minimum three (3) years’ experience in a Human Resources role
- CHRP designation preferred
- Not for Profit, government funded agency experience preferred
- Strong understanding and knowledge of applicable legislation, such as, Employment Standards Act, Human Rights, etc.
- Previous generalist experience with a focus on advising management on all employee related issues preferred
- Must be comfortable to work independently
- Must be resourceful to proactively research and investigate questions, issues, etc.
- Philosophy of fairness, equity, and accountability in your approach to human resources
- Competent in the use of Microsoft Office suite applications (Word, Excel, Outlook), SharePoint and HRIS (experience with Dayforce and PowerPay an asset)
- Provide and maintain an acceptable Criminal Record Check
- Excellent communication skills- verbal, written and listening
- Excellent problem-solving and decision-making skills
- Ability to interact effectively with team members of every level
- Curious and committed to always remaining up to date on new HR practices
- Strong people skills - intuitive, empathetic, influential, passionate, persuasive
