We are a high-end, retail, and supply company located in historic Gastown. We're looking for an experienced, organized, and capable Bookkeeper and Office Manager to oversee our daily administrative operations. This is a hands-on, in-person role for someone who enjoys a respectful, accountable environment, supporting a busy team, and ensuring the office and showroom runs efficiently.
Key Responsibilities
- Manage the day-to-day operations of the office Tuesday - Thursday, 9:30 - 5:30pm,
- Keyholder
- QuickBooks Online
- Process non- union bi-weekly payroll accurately and on schedule, plus Union payroll on occasion.
- Maintain operational records using AI technology suite, Smart Sheets, Google, Word, Excel, Dropbox
- Manage accounts payable and accounts receivable
- Prepare customer estimates, invoices, statements, and process payments
- Perform bank and credit card reconciliations
- Prepare month end to hand off
- Prepare weekly cash flow statements
- Understand the fundamentals of bookkeeping
- Prepare and file GST and PST, WSBC, Source Deductions, EHB remittances
- Coordinate WorkSafeBC reporting and maintain compliance records
- Administer employee benefits, vacation tracking, and personnel records
- Maintain organized filing systems and office documentation
- Order office supplies and coordinate with vendors and service providers
- Support inventory administration and purchasing activities through order tracking,
- Answer phones, respond to emails, and provide excellent customer service
- Assist ownership and management with reports, scheduling, and special projects
- Support operations by minute taking, task accountability
- Multi-currency transactions
- Be willing to jump in and help with Many other tasks that would come up in a small business where everyone works together, from deliveries and helping clean up the occasional broken glass, to being a 'test guest' and taste tester during our culinary demonstrations and events, or if we're trying a new chef.
Qualifications
- A fundamental understanding of Bookkeeping, cash management, and the balance sheet.
- Minimum 3 of full time experience as an Office Manager, Office Administrator, or similar role -minimum 6000 hours of previous experience.
- Strong working knowledge of QuickBooks Online
- Experience processing bi-weekly payroll
- Working knowledge of GST/PST remittances, WorkSafeBC reporting, and payroll compliance
- Proficiency in Microsoft Office (Excel, Outlook, and Word) & Google Suite
- Strong organizational, communication, and problem-solving skills
- High level of accuracy, professionalism, attention to detail, Attention to Detail, and Attention to detail.
- Adaptable, willing to learn, positive attitude, resourceful.
- Experience in a retail, wholesale, or trade-related business is preferred
