Why is this role important?
Service Coordinator, Display Fixtures
Review technician time sheets for accuracy and calculate total hours worked.
Review work orders for completed information, including refrigerant information & ensure all losses are report as mandated by provincial guidelines.
Create invoices from electronic work orders.
Obtain the necessary approvals and signatures from managers on all tools, safety gear, cell phone purchases and other expenses incurred by the branches.
Review all expense reports, work with technicians to correct any discrepancies.
Procure materials for manager/technicians.
Follow up with technicians by e-mail or phone call on missing, supplier invoices, warranty credits etc.
Ensure filing cabinets for receipts and expense reports are maintained.
Order office supplies.
Provide backup coverage to dispatch technicians to refrigeration/hvac service calls when required.
1-2 years minimum of Administrative experience
Demonstrated proficiency in all aspects of MS Office; with advanced knowledge of Outlook, PowerPoint and Excel.
High level of accuracy and attention to detail
Excellent customer service orientation, sensitive to client issues and understanding of importance of diplomacy and confidentiality
Demonstrated ability to interact professionally with people at various levels of an organization
Excellent verbal and written communication skills
Ability to multi-task in a deadline driven environment
Initiative, strong judgment and problem-solving abilities
Ability to work independently and while supporting a collaborative team environment
