Unifi Aviation Canada is seeking an Administrative Assistant to support our ground handling operation at Toronto Pearson International Airport. This role provides general administrative and operational support to station leadership while coordinating employee injuries, medical leaves, and return-to-work activities in a fast-paced, unionized, and safety-sensitive airport environment.
Key Responsibilities
- Track and support employee injury and medical leave files, including WSIB (Occupational), STD/LTD (Non-Occupational), and other medical leaves
- Coordinate and maintain injury, illness, and leave documentation, including medical forms, work restrictions, and accommodation requests
- Confirm medical restrictions and assist with modified duty and return-to-work planning in collaboration with Operations, HR, unions, healthcare providers, and benefits administrators
- Monitor injury, medical leave, and return-to-work cases to ensure documentation, follow-ups, and reporting timelines are met in accordance with WSIB requirements, collective agreements, benefits providers, and company policies
- Maintain accurate, confidential, and up-to-date records related to workplace injuries, accommodations, modified duties, attendance, and employee absences
- Prepare injury, attendance, and leave-related reports to support operational planning, audits, and management review
- Identify recurring injury, attendance, or return-to-work trends and escalate concerns to station leadership or Human Resources as appropriate
- Act as a liaison between employees, healthcare providers, unions, benefits administrators, and internal stakeholders to support safe, timely, and compliant return-to-work outcomes in a safety-sensitive environment
- Exercise sound judgment and discretion when handling sensitive medical and employee information
- Provide general administrative support to station leadership and ground handling operations, including maintaining personnel files, coordinating airport badges and uniforms, supporting onboarding and recruitment activities, and assisting with payroll, scheduling, shift bids, and vacation tracking using Kronos and UKG
- Compile reports, prepare administrative documentation, draft internal communications, and ensure workplace postings and corporate communications are current
- Schedule meetings, prepare agendas, take minutes, and perform other administrative duties as assigned
Qualifications
- Minimum 3 years of administrative or office experience, preferably in an operational or unionized environment
- Proficiency with Microsoft Office (Excel, Word, PowerPoint)
- Experience with WSIB reporting or tracking
- Experience supporting employee injuries, medical leaves, or return-to-work processes in an operational or safety-sensitive environment
- Experience working in a unionized workplace and applying collective agreement provisions related to attendance, injuries, and modified duties is an asset
- Experience in aviation, transportation, logistics, or industrial operations is considered an asset

- Ability to interpret and apply company policies, benefit plans, and collective agreements related to attendance, injuries, and return-to-work processes
- Strong communication skills when working with employees, leadership, unions, and external stakeholders
- Professional, discreet, and confident when handling sensitive employee information
- Comfortable working in a fast-paced, safety-critical airport environment
