MAKO LAW is looking for a Legal Assistant in a law practice of a sole practitioner with the focus in Family Law (70%), Immigration (10%), Wills and Estates (10%) and Real Estate (10%). Training will be provided, however, if you possess the following competencies it would certainly help:
Law Clerk Diploma/Certificate;
Thorough knowledge and understanding of the statutes of Family Law rules and procedure; court procedures and filing deadlines, including filing court material online per the new practice directions;
Initiative to work independently with a strong attention to detail;
Experienced and knowledgeable in MS Word, Outlook, Excel, OneDrive, Adobe Acrobat, Divorcemate, and PC Law; Google Chrome; Windows 10, Manage Contacts and Calendar, using LAO Portal.
Strong typing skills and accuracy;
Strong administrative, organizational and prioritization skills;
Excellent oral and written communication skills;
Ability to work remotely and independently by phone and WhatsApp, project management app, keep track of routine tasks and time management. Remind lawyers of upcoming deadlines and meetings.
Focused and detail oriented.
Job description:
Creating, organizing, and maintaining client digital and physical files;
Drafting and proofreading court documents/forms as per lawyer instructions;
Experience in financial statements and disclosure briefs;
Administrative support to the office;
Answering phone calls from client and other law firms;
Receive and accept mail and courier package including processing and sending outgoing mail, ordering couriers for deliveries;
Serving and filing materials with respect to One-key filing;
Bookkeeping and billing in PC Law and LAO portal;
Operate office equipment - printers, scanners, computers. Resolve software issues with the help of a remote IT Specialist; Keep computers up to date and operational.
Perform any other job functions as necessary to ensure smooth operation;
Proficiency in Russian and/or Ukrainian is an asset.
Compensation commensurate with the candidate’s skills, education and knowledge. Starting salary is minimum wage.
Physical presence is required for 2 days a week - Monday and Friday from 9:30 am to 5:30 pm.
Other work days - Tues to Thurs - not in the office, but must have an ability to answer an office phone through a phone app during business hours 9:30 am to 5:30 pm, and send notifications to the lawyer by WhatsApp chat (very limited amount of calls - 2-5 per day) about these calls or make other arrangements, incl. Schedule or change appointments in the calendar.
Approximate work time Tues - Thursday - 1 hour per day. Guaranteed pay for 20 hours per week (17.20 x 20 hr = $344 per week, apprx. $1500 per month). Additional hours worked, if required, are paid at the same rate.
