Job Project Space and Operations Assistant
CONTRACT POSITION: 52 weeks, 35 hours a week
REMUNERATION: Salaried (Gross $19.23/hr), paid semi-monthly. Includes accrual of two weeks paid vacation to be taken within the contract.
JOB LOCATION: Art Gallery of Sudbury | Galerie d’art de Sudbury, 172 Elgin Street, Sudbury ON
HOURS OF WORK: The intern will be required to work Tuesday to Saturday from 9:00 am - 5:00 pm (with some flex hours)

Job Duties – Project Space and Operations Assistant
Visitor Services & Communications
- Greet visitors warmly and provide excellent customer service, representing the Gallery as the first point of contact.
- Process admissions and Gallery Shop transactions using the POS system.
- Monitor shop inventory, restock merchandise, and track sales trends to inform purchasing.
- Create digital and physical marketing materials to highlight artists featured in the shop and exhibitions, ensuring engaging visitor communications.
- Collaborate with staff to promote exhibitions, artists, and programming through online and onsite channels.
Project Space & Programming
- Oversee project space coordination, including scheduling, preparation, and maintenance for exhibitions, workshops, and events.
- Support the delivery of future programming by assisting with logistics, setup, and communications.
- Ensure the project space remains safe, organized, and welcoming for artists, facilitators, and visitors.
- Assist with exhibition installation and takedown as needed, working closely with gallery staff and artists.
Education Support
- Assist with art education programs, including setting up spaces, preparing materials, and supporting facilitators.
- Engage with program participants in a welcoming and inclusive manner, ensuring a positive learning environment.
- Document workshops, programs, and events with photographs for archival and promotional use.
Administrative
- Provide general office support to ensure smooth day-to-day operations of the Gallery.
- Assist with payroll preparation, record keeping, and reporting as assigned.
- Track inventory and prepare sales and program reports.
- Support communication between departments to maintain efficient operations.
Skills & Experience
- Strong organizational and time management skills, with strict attention to detail and accuracy.
- Excellent interpersonal and communication skills with a customer-focused approach.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with POS systems is an asset.
- Ability to work independently and collaboratively in a dynamic, public-facing environment.
- Experience or interest in art education, arts programming, or retail operations is considered an asset.
- Technical skills with tablets, DSLR cameras, and digital media tools preferred.
Education & Training
- Post-secondary degree or diploma in Museum Studies, Arts Administration, Art History, Business Administration, Information Technology, or a related discipline.
- Bilingual proficiency in English and French is required.
- Equivalent combinations of education and related experience in cultural organizations, retail, or program coordination will be considered.
- Candidates must meet funding eligibility requirements:
· This position must be the candidate’s first full-time employment in their field of study.
