The Opportunity
Reporting to the Annual Giving Director, the Donation Processing Specialist plays a key administrative role, supporting the overall fundraising goals of the organization by providing accurate and timely donation processing support to Habitat Canada’s fundraising team.
As part of the Resource Development team, the specialist is highly detail-oriented individual with a critical degree of accuracy regarding donation processing. Internally, the incumbent will work closely with the database manager and finance team along with an external donation processing agency, collaboratively ensuring a seamless and efficient back-office workflow.

Responsible for reviewing, entering, and posting all income to the appropriate general ledger account in Raiser’s Edge.

Processes cheque, cash, credit card payments and EFT for both one-timing giving as well as monthly donations, according to standard procedures.

Import of Restore and Build GIK gift and staff donations and other ad hoc donation imports.

Manages automatic payment schedules for pledge payments, processing individual credit card payments via the schedule set by the donor.

Responsible for maintaining backup documentation for all donation data entry procedures.

Coordinate and monitor the one-time, and annual tax receipting/e-receipting process, working closely with our external vendor to generate receipts and acknowledgment letters for donors.

Accurately processes all online donations from a variety of donation platforms (LO, Canada Helps, Benevity, Online Express, FundraiseUp).

Responsible for resolving all issues related to Blackbaud Merchant Services credit card transactions, i.e., refunds, errors, declines, and invalid credit cards.

Works with the accounting team to confirm data in Raiser’s Edge is reconciled with accounting records.

Creates and sends AccPac imports for finance for all bank statement lines.

Generates regular reports to ensure financial accountability.

Manage donor related escalations from external vendor, i.e., monthly cancelations, duplicate receipts.

Working with Finance on annual audit.

Managing Fund/Campaign/Appeal coding.

Performs other duties consistent with the job classification, as required.

Post-secondary education, with a relevant degree or professional designation preferred.

Minimum 3 years of experience in donation processing.

Strong computer literacy, including proficiency in Microsoft Office Suite required.

Grounded skills in Raiser’s Edge and RE NXT, Luminate Online or other database management (gift entry, data maintenance, query, and database administration skills) required.

Knowledge of CRA rules for receipting.

Attention to detail and high vigilance for accuracy.

$52,000 to $58,000
