Role Summary
The Project Coordinator keeps a panelization projects moving between the design team, purchasing, and the field. Sitting within the Draft 2 design pod and reporting through Drafting & Design, the Coordinator owns quantity and design checks, the live material tracker, purchase-order creation and tracking, document control, and day-to-day site communication. The role relieves the Project Manager of routine coordination — problem-solving with the install and design teams, confirming readiness with the Shop and Site, and keeping the schedule from slipping — while the PM retains ownership of cost, schedule, and the client.
Duties and Responsibilities
1. Material Quantities, Purchasing & Tracking
- Confirm sheet layout and create purchase orders for prime materials.
- Draft purchase orders for material accuracy; the Project Manager researches best pricing, purchases, and tracks delivery and cost.
- Create material quantities for all materials together with the Designer; input and verify accuracy in the live material tracker.
- Organize the first material orders ready for the planned start; track material lead times for accuracy as the PM manages schedule and cost impact.
- Finalize release break-outs and coordinate POs, delivery dates, and delivery methods.
2. Quantity & Design Checks · Document Control
- Perform quantity and dimension checking across release packages.
- Verify release packages and confirm readiness with the Shop and Site.
- Maintain document control and information distribution; prepare sheet layouts and highlighted drawings.
- Keep the material tracker current; budget-vs-actual is reviewed by the Project Manager.
3. Site Dimensioning & Coordination
- Outline site-measuring expectations with the Designer and execute the measuring with the site team.
- Organize site-measuring drawings to be reviewed during site dimensioning.
- Coordinate the scan — schedule the pre-scan meeting and align with the client and installation team on timelines and area.
- Complete anticipated project zoning jointly with the Site Superintendent and Project Manager.
4. RFIs, Site Communication & Problem-Solving
- Create project RFIs to document design changes or missing information; the PM submits and follows up given schedule impact, with the Coordinator supporting technical clarification.
- Confirm that extras and back-charges are not overlooked when site instructions are reviewed.
- Run day-to-day site communication and check-ins; problem-solve with the install and design teams and relieve the PM on site instructions.
- Coordinate remakes and deficiencies and keep the schedule from slipping.
5. Framing & Closeout Support
- Create framing drawings as required and coordinate their POs and delivery method.
- Support project closeout — deficiency clean-up tracking and the post-project review with the PM and Site Manager.
Skills and Competencies
- Strong organization and document control across multiple concurrent releases.
- Proficiency with material trackers, purchase-order systems, and project software (Procore or equivalent).
- Ability to read drawings and perform accurate quantity and dimension checks.
- Clear communication with the site, Shop, suppliers, designers, and the Project Manager.
- Proactive follow-up and problem-solving under schedule pressure.
- Working knowledge of panelized cladding materials and their lead times.
Qualifications
- Completion of a two-to-three-year college program in architectural technology, construction or project administration, or a related field.
- Minimum 1-2 years in a similar role
Pay: $65,000.00-$70,000.00 per year
