We’re looking for a detail-oriented Bookkeeper / Office Administrator to help keep our office running smoothly and our financial records accurate and up to date.
Position Summary
The Bookkeeper / Office Administrator is responsible for day-to-day bookkeeping, office coordination, and administrative support. This role works closely with ownership/management and supports field operations by ensuring invoices, payables, receivables, and documentation are organized and processed on time.
Key Responsibilities
- Maintain accurate bookkeeping records (A/P, A/R, general ledger, journal entries)
- Prepare and send customer invoices; follow up on outstanding receivables
- Process vendor invoices, purchase orders, and payments
- Complete bank and credit card reconciliations
- Support payroll preparation (collect/verify timesheets, track hours; liaise with payroll provider as applicable)
- Maintain organized digital and paper filing systems (job folders, supplier documents, contracts, insurance, etc.)
- Assist with month-end reporting and basic financial statements for management review
- Track job-related administrative items (quotes, work orders, change orders, packing slips, delivery receipts)
- Answer phones/emails, manage calendars/scheduling, and provide general front-office support
- Coordinate office supplies and administrative tasks as needed
- Support health & safety and compliance documentation (e.g., training records, certificates) as required
Qualifications
- 2+ years of bookkeeping and/or office administration experience (construction, trades, or manufacturing experience is an asset)
- Proficiency with accounting software (e.g., QuickBooks Online/Desktop or similar)
- Strong Excel/Spreadsheet skills and comfort working with numbers
- Excellent organization, attention to detail, and ability to manage multiple priorities
- Strong written and verbal communication skills
- High level of discretion and professionalism with confidential information
- Ability to work independently and take initiative
Preferred Assets
- Experience with construction job costing and progress billing
- Knowledge of HST/GST filings and basic payroll remittances
- Familiarity with steel fabrication/erection operations and terminology
