The opportunity

As an Engagement Scheduler, you will be a part of Tax Experience Management Team contributing to the goals of maximum deployment of our practitioners and comprehensive project staffing for delivery of our engagements in the Greater Toronto Area. The Scheduler will support the tax team locally as well as on a virtual basis in some of our other Canadian cities. They manage and develop timely resource deployment solutions for their local client base; develop expertise and knowledge of professional staff skill sets and project requirements; analyze utilization data and deployment information and participate in developing and facilitating resource deployment strategies. The Scheduler will be dedicated to applying knowledge of the processes and deadlines, engagement economics, and team goals to advance the efficiency, productivity and profitability of the team.

Your Key Responsibilities

Scheduling for the Canadian tax consulting groups in Toronto and the Central Region
Proactively work with team leaders to ensure tax talent is deployed to maximize their development, ensure exceptional client service, and achieve firm metric goals
Utilizing strong and effective communication skills to coordinate and share work both within local teams and across national practices
Organizing the weekly scheduling meetings, record changes and follow up on issues arising
Coordinating requests for tax hours from other business units
Teaming with other members of the Tax Experience Management team to collaborate and share responsibilities
Building relationships and communicate continuously with client service personnel to identify personal schedule preferences and/or career development issues.
Meeting with Partners, Senior Managers and Managers to discuss staffing requirements for their clients, and to gain an understanding of specific engagement needs and deadlines.
Resolving conflicts with engagement team members to ensure appropriate solutions are identified in a timely manner considering engagement requirements and developmental goals of staff supported.
Managing planning process for groups
Reviewing actual and projected utilization, anticipate availability and proactively take action to minimize unassigned time while balancing the workload of all client serving individuals supported.
Identifying over and underutilized personnel; be proactive in identifying additional resources to bring utilization in line with their peers.
Appropriately prioritizing staffing decisions based on engagement risk, specialization requirements, timing constraints, staffing continuity and geographic considerations.
Negotiating with client serving teams to shift time or create individual availability to meet staffing priorities for the office / area.

To qualify for the role, you must have

A College or University degree education and / or 2 or more years related work experience
A keen desire to learn and take on new challenges
The ability to manage multiple tasks, received from various sources and execute within tight deadlines
Strong organizational and time management skills
Strong Microsoft Excel and Word skills
Commitment to achieving firm goals
Strong communication and interpersonal abilities
A mindset to embraces challenge and change
Demonstrated sound judgment regarding confidential and sensitive matters
Flexibility to work additional hours during busy season
The ability to adapt to constantly changing priorities
Strong analytical skills and a high attention to detail
Proficiency in negotiation and conflict management
A client service orientation, be responsive to requests and maintain a sense of urgency in resolving issues
Outstanding teamwork and interpersonal skills
The ability to work independently and be a self-starter
