Job Title: Finance Officer (Part-Time)
Wages: $27.60/h
Hours: 30 hours/week
Location: Kentville, NS (primarily office-based)
Reports to: Executive Director (works closely with the Senior Finance Officer)
About the Role
We’re looking for a detail-oriented Finance Officer to support the day-to-day financial operations of our organization. This role focuses on accounts payable, accounts receivable, selected monthly accruals, and accurate data entry to support project cashflows. You’ll help ensure invoices, payments, and receipts are processed correctly and on time, and that financial documentation is organized and easy to access.
What You’ll Do
Accounts Payable (AP)
- Receive, verify, code, and enter vendor invoices into the accounting system
- Ensure supporting documentation and approvals are complete before payment
- Prepare payment runs (cheques, EFT, or other methods) for review and authorization
Accounts Receivable (AR) & Receipting
- Record incoming payments and issue receipts
- Maintain accurate AR records (fees, reimbursements, donations, and other income as applicable)
- Support follow-up on outstanding balances as directed, including aging report monitoring
Monthly Accruals & Project Cashflow Data
- Prepare and enter assigned monthly accruals (including payroll and other routine accruals) using provided schedules, templates, and checklists
- Enter monthly project cashflow data (e.g., Edge and NSW), ensuring amounts align with the general ledger and supporting documentation
Record-Keeping & Finance Administration
- Maintain organized electronic and paper files for invoices, receipts, contracts, and other financial records
- Assist with monthly reconciliations by assembling statements, receipts, and documentation
- Support payroll processing by collecting/verifying timesheets or required inputs as directed
- Respond to routine inquiries from vendors and staff regarding payment status, receipts, or documentation
- Flag inconsistencies and potential errors for review and correction

Key Skills & Qualifications
Education/Experience
- Certificate, diploma, or coursework in bookkeeping, accounting, office administration, or a related field (or equivalent experience)
- Experience with accounts payable and/or accounts receivable processing
- Experience using accounting software and basic office systems
Skills
- Strong accuracy and attention to detail (especially in data entry)
- Comfort with accounting software, spreadsheets, and document management tools
- Strong organization and ability to manage routine deadlines
- Clear, courteous communication with vendors and stakeholders
- Ability to follow established procedures, checklists, and templates
