We are looking for a highly organized Executive Assistant to join a creative agency in Vancouver, British Columbia on a contract basis. This fully onsite role will provide day-to-day support to senior leaders by coordinating demanding schedules, handling travel and expense tasks, and helping the office run smoothly in a fast-moving environment. The ideal candidate brings sound judgment, flexibility, and the ability to stay composed while managing shifting priorities and multiple executive calendars.
Responsibilities:
Coordinate complex calendars for senior leaders, resolving scheduling conflicts and ensuring priorities are managed effectively across multiple stakeholders.
Support the founder and leadership team with daily administrative needs, including meeting planning, schedule adjustments, and general organization.
Arrange domestic and international travel as required, and manage itinerary updates when plans change.
Prepare and submit expense documentation and related administrative records accurately and on time.
Review upcoming meetings and commitments each week, capture key notes when needed, and help leaders stay prepared for scheduled discussions.
Order meals and assist with practical day-to-day requests that enable executives to focus on business priorities.
Provide office support in partnership with the studio director, helping maintain an orderly and well-organized workplace environment.
Follow up with interns and other team members on shared office upkeep expectations and routine coordination tasks.
Requirements
Proven experience supporting executives or senior leadership in an administrative or executive assistant capacity.
Strong background in calendar management, including coordinating multiple busy schedules in a fast-paced setting.
Proficiency with Outlook and Microsoft Office for scheduling, communication, and administrative documentation.
Experience arranging travel and handling related logistics for business leaders.
Ability to complete expense reporting accurately and maintain strong attention to detail.
Comfortable working with C-suite stakeholders and communicating professionally across all levels of an organization.
Resilient, adaptable, and able to manage competing demands with a calm and service-oriented approach.
Pay: $30.00-$40.00 per hour
Expected hours: 25.0 – 35.0 per week
