Position Overview:
The HR Assistant reports directly to the HR Manager and supports the day-to-day operations of the HR department by assisting with administrative and operational HR functions. This role plays an integral part in ensuring HR processes are carried out efficiently, accurately, and in alignment with organizational policies and best practices and employment legislation.
The HR Assistant contributes to key HR initiatives, including recruitment, onboarding, employee records management, and employee engagement initiatives. The role requires a high degree of discretion, professionalism, and strong attention to detail, as well as the ability to manage competing priorities in a fast-paced environment while maintaining accuracy and consistency in all HR-related tasks.
Key Responsibilities (including but not limited to):
- Monitor and manage the HR inbox, ensuring timely, professional responses and routing inquiries to the appropriate internal contacts in accordance with company policies and service standards.
- Lead and support full-cycle recruitment across departments, including drafting and updating job descriptions, posting job ads, screening applications, coordinating interviews, and supporting hiring decisions.
- Review, assess, and organize incoming resumes daily; conduct initial phone screenings; maintain an up-to-date Candidate Log; and share shortlisted candidate details with Hiring Managers in compliance with Employment Standards Act (ESA) requirements.
- Prepare comprehensive candidate profiles for Hiring Managers, including screening notes, interview feedback, and proficiency or skills testing results, as applicable.
- Communicate hiring outcomes to candidates in a timely, respectful, and compliant manner, ensuring consistency with Employment Standards Act (ESA) and internal standards.
- Coordinate and facilitate timely communication with all relevant departments regarding new hires, ensuring smooth boarding.
- Maintain accurate, up-to-date, and confidential employee records, in accordance with privacy and data protection requirements.
- Coordinate onboarding and orientation for new employees, ensuring workspaces, computers, system access, software, mailboxes, business cards, and required documentation are prepared in advance of the start date.
- Serve as a first point of contact for employee inquiries related to company policies, benefits and health claims, HR procedures, and general employment questions, and escalating issues as needed.
- Support the implementation and ongoing administration of HR programs and initiatives aimed at enhancing employee engagement, workplace culture, and overall employee experience.
- Maintain and regularly update the employee phone directory and internal database of employee contact information.
- Track, update, and maintain employee training records and certifications within the HR database.
- Coordinate and communicate floater coverage across various sites, ensuring schedules, changes, and updates are shared clearly and in a timely manner.
- Support employee offboarding processes, including coordinating exit interviews, managing system access deactivation, and ensuring employee records are accurately updated.
- Assist with the preparation, distribution, and tracking of HR-led surveys and feedback initiatives.
- Support the planning and coordination of employee events, recognition initiatives, and special occasions, as required.
- Perform other duties and responsibilities as assigned to support the overall HR function and business needs.
