Position Summary
The Gallery Services Assistant supports the operational and logistical delivery of the Beaverbrook Art Gallery’s rental, event, and travel trade programs. Working under the supervision of the Enterprise Coordinator, the Assistant ensures that facilities, equipment, and supplies are maintained in good order, set-ups are completed efficiently, and clients and partners receive professional service during their events.
Key Responsibilities
Event & Rental Logistics
- Assist with the physical set-up and tear-down of gallery spaces for rentals and events, including moving furniture, décor, and A/V equipment.
- Provide on-site support during events, including filling water, monitoring spaces, and ensuring client needs are met.
- Operate or provide basic technical support for PA and A/V systems.
- Greet and assist rental clients at events where minimal servicing is required.
Inventory & Materials Management
- Maintain accurate inventory of event and rental supplies, including furniture, décor, signage, and technical equipment.
- Support the maintenance of orderliness and accurate records for the Liquor Room, glassware, and bar/event supplies.
- Track and report on inventory use and needs; recommend re-orders or replacements as necessary.
Coordination & Liaison
- Work with the Enterprise Coordinator to anticipate and prepare for upcoming rentals and travel trade activities.
- Orienting and training casual event staff
- Liaise with the Daily Espresso Café team to support bar and catering needs for gallery events.
- Communicate with internal teams (security, custodial, curatorial, etc.) to ensure smooth event execution.
- Facilitating access to past client communications (emails), agreements, and event details, as well as Veevart records, for the Enterprise Coordinator or Gallery management, as necessary.
General
- Monitoring the [email protected] shared inbox and keeping it clear of spam and organized for shared use.
- Ensure that gallery facilities used for events are clean, orderly, and prepared to a high standard.
- Provide professional, courteous, and responsive service to all rental clients, guests, and partners.
- Other related duties as reasonably assigned.
Qualifications
- Previous experience in event logistics, hospitality, or facility operations.
- Strong organizational and problem-solving skills.
- Ability to work both independently and as part of a team.
- Comfort with light physical work (lifting, moving furniture, carrying supplies).
- Familiarity with basic A/V systems and event service standards; training will be provided if needed.
- Excellent interpersonal skills; able to interact professionally with clients, partners, and staff.
- Bilingualism (English/French) considered an asset.
Working Conditions
- On-site role at the Beaverbrook Art Gallery.
- Evening and weekend work required to support rentals and events.

- Variable schedule based on event bookings.
Pay: $16.06-$26.71 per hour
