Grand Prairie Athletic Club (GPAC) & Peace Country Female Athletic Club (PCFAC)
GPAC and PCFAC are seeking a highly organized, detail-oriented, and customer-focused Bookkeeper / Administrative Assistant to join our team. This position plays a key role in supporting the daily financial, administrative, and operational functions of our organizations while helping provide a positive experience for athletes, families, coaches, volunteers, and stakeholders.
The ideal candidate will possess strong bookkeeping skills, experience with office administration, excellent organizational abilities, and a commitment to providing outstanding customer service.
Position Details
- Flexible work schedule
- 27.5 – 37.5 hours per week
- Monday to Friday, typically 8:30 AM – 4:30 PM
- Additional hours required during peak season from August 20 – October 1 due to player evaluations, team formation, and registration activities
- Some evening and weekend work required during busy periods
Position ResponsibilitiesBookkeeping & Financial Administration
- Manage daily bookkeeping and financial administration using Sage 50
- Process accounts payable and accounts receivable
- Enter invoices, payments, deposits, sponsorships, fundraising revenue, and expenses accurately and promptly
- Ensure all invoices and bills are paid accurately and on time
- Reconcile accounts and maintain accurate financial records
- Assist with budget preparation, monitoring, and reporting
- Maintain financial spreadsheets, reports, and tracking documents using Microsoft Excel
- Track outstanding balances and assist with account collection and follow-up
- Update player and team account balances as payments, sponsorships, fundraising credits, and fees are received
- Ensure all player accounts remain accurate and current on a daily basis
Administrative Support
- Provide general administrative support for both organizations
- Maintain organized filing systems for financial records, player information, team documents, and administrative files
- Prepare reports, summaries, and updates for the Executive Director
- Assist with registration administration and data management
- Coordinate and schedule meetings as required
- Perform clerical duties including photocopying, scanning, document preparation, proofreading, and record management
- Manage office supplies and assist with maintaining efficient office operations
Team Travel & Event Coordination
- Book hotels, buses, and travel arrangements for teams and organizational events
- Confirm travel accommodations and transportation requirements weekly
- Assist with tournament administration and event coordination
- Support planning and logistics for club activities and special events
Customer Service & Communications
- Answer phones, emails, and inquiries in a professional and timely manner
- Provide excellent customer service and support to members of both organizations
- Assist with registration inquiries, payment questions, and account-related concerns
- Maintain professional communication with vendors, sponsors, and external partners
Qualifications
- Experience with Sage 50 accounting software is required
- Strong proficiency with Microsoft Office, particularly Excel, Word, and Outlook
- Experience with Google Workspace is considered an asset
- Experience with accounts payable, accounts receivable, and general bookkeeping practices
- Strong computer skills including data entry, record management, and document preparation
- Excellent organizational and time-management skills
- Exceptional attention to detail and accuracy
- Strong verbal and written communication skills
- Professional customer service skills and phone etiquette
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Experience working in a non-profit, sports, or community organization is considered an asset
- Previous bookkeeping and administrative experience preferred
