THIS IS FOR ONE (1) PERMANENT, FULL-TIME NON-BARGAINING UNIT POSITION.
LMCH is looking for a highly organized, proactive and trusted professional to join the Office of the CEO as Executive Assistant. This is a unique opportunity to work closely with the CEO, Board of Directors and Senior Leadership Team and contribute to priorities that shape the organization and the communities we serve.
More than a traditional administrative role, the Executive Assistant helps keep priorities moving, connects people and information, supports effective governance and ensures important commitments are followed through. The successful candidate will have visibility across the organization and regularly engage with senior leaders, Board members, the City of London and other key partners.

1. OVERVIEW
As a primary point of contact for the Office of the CEO, the Executive Assistant regularly interacts with Board members, elected officials, government representatives, funders, community partners, legal counsel and other external stakeholders. The position requires exceptional judgment, organization, professionalism and discretion, together with the ability to anticipate needs, manage competing priorities and handle highly confidential and sensitive matters.
2. KEY ACCOUNTABILITIES
Support the CEO and Executive Priorities
· Manage the CEO's calendar and priorities, anticipate upcoming needs, coordinate briefing materials and correspondence, and help ensure important commitments and actions move forward.
· Conduct research, compile information and support the preparation of reports, presentations and correspondence.
Support the Board and Good Governance
· Provide end-to-end support for the Board and its committees, including meeting coordination, Board materials, minutes, governance records and action tracking. Support the AGM and other governance and shareholder requirements.
Connect Leadership and the Organization
· Support the Senior Leadership Team and key internal committees, including Joint Health and Safety and Union-Management, helping coordinate information, decisions and follow-through.
Support Corporate Governance and Compliance
· Help coordinate important corporate responsibilities involving privacy, legal matters, insurance, corporate records, shareholder communications and other governance and compliance requirements.
Build and Support Key Relationships
· Act as a professional point of contact for Board members, elected officials, City representatives, funders, community partners and other stakeholders engaging with the Office of the CEO.
3. EDUCATION, EXPERIENCE, & QUALIFICATIONS:
· Minimum five years of progressively responsible administrative or executive support experience, preferably supporting a CEO, Executive Director or other senior executive.
· Post-secondary Diploma or Degree in Business Administration, Office administration, governance or a related discipline.
· Demonstrated experience supporting a Board of Directors, committees or comparable governance body.
· Experience working in a municipal, broader public sector, non-profit, housing or similarly complex stakeholder environment is considered an asset.
· Experience coordinating confidential corporate, legal, privacy or governance matters is considered an asset.
· Experience working with elected officials, government representatives or senior external stakeholders is considered an asset
· Excellent written communication skills, including demonstrated ability to prepare professional correspondence, agendas, minutes, briefing materials and other executive-level documents.
· Excellent verbal communication and interpersonal skills, with the confidence and professionalism required to interact with Board members, elected officials, senior government representatives, funders and community leaders.
· Ability to build effective working relationships across all levels of the organization and with external partners.
· Exceptional organizational and time-management skills with demonstrated ability to manage multiple priorities, deadlines and competing demands.
· Ability to anticipate, plan, and prioritize CEO diary, demands and communications to align to Corporate Responsibilities.
· Thorough knowledge of Board Governance and Meeting Administration.

5. POLICE RECORDS CHECK:
This position requires the successful candidate submit a current Police Records check from their local police service. A current LMCH employee who is the successful candidate for this position must also provide this document unless it is already on file and not more than one year old.
6. SALARY, BENEFITS & HOURS OF WORK:
Target salary range of $67,605.86 - $78,396.11 per annum; with comprehensive health benefits and OMERS pension plan.
Normal working hours are 8:30 a.m. to 4:30 p.m., Monday to Friday. Because this position supports LMCH's Board and committees, flexibility to work outside normal business hours is required. LMCH holds approximately 25 Board and committee meetings annually, with some occurring in the evening.
Occasional travel within London and Middlesex County may be required.
