Job Title: Administrative Team Lead
Department: Mobile Vaccine Clinics
Location: Various clinic locations, on-site mobile clinics, in-home vaccine administration (e.g., homes, apartment buildings, etc.)
Reports to: Operations Manager, equivalent, or designate
Hours: Hours and days of work will vary depending on operational requirements. Hours of work may include day, evening, and weekend shifts. Minimum hours of work are not guaranteed; Shifts can be 6-12 hours.
Wage Rate: $25.63 to $32.04 per hour
Status: Temporary part time (3 months with opportunity for extension)
Administrative Team Lead to provide various administrative/non-clinical supports to the vaccine clinic team. This is an excellent opportunity to contribute to our COVID-19 response and to work in a multidisciplinary team. The Administrative Team Lead’s main responsibility will continue to be for the collection and documentation of client information at mobile vaccine clinic locations outside the hospital.
Key Duties and Responsibilities
On site coordination at covid-19 vaccination clinics in a variety of settings, including community centres, schools, primary care sites, etc.
Work closely with community leads from Community Health Centres
Work with clinical lead on site to ensure clinical team has what they need
Manage covax-related questions/issues (covax experience helpful but not mandatory, can train)
Manage covax documenters, volunteers to ensure adequate coverage and issues resolved
Coordinate clinical staff/physicians (arrivals, breaks, etc)
Ordering extra supplies and vaccines
Completion of Grade XII or recognized equivalent required.
Completion of a recognized medical or business post secondary office administration diploma program, or recognized equivalent required.
Five (5) years related office administration support experience required.
Previous on-the-job computer/word-processing, database and spreadsheet software experience required.
Previous supervisory experience preferred.
Experience in a Microsoft Office environment preferred.
Experience working in a health care environment an asset.
Excellent organizational and time management skills required.
Excellent interpersonal and customer service skills required.
Very good verbal and written communications skills required.
Ability to produce high quality work in accordance with Hospital standards required.
Ability to work effectively and efficiently under pressure required.
Ability to use good judgment in assessing difficult situations required.
Ability to effectively handle confidential matters and materials required.
Knowledge of medical terminology an asset.
Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code.
