Santé Circle Health Inc. is seeking an organized and detail-oriented Occupational Health Services Co-ordinator to support the coordination and delivery of occupational health services.
The Occupational Health Services Coordinator is responsible for coordinating occupational health referrals from intake through to completion, ensuring files are managed accurately, efficiently, and in alignment with client contracts and service level expectations. This role requires strong administrative coordination, communication, time management, and attention to detail.
The successful candidate will work within a structured workflow model, support file progression, communicate with internal and external stakeholders, maintain accurate documentation, and help ensure high-quality service delivery.
Key Responsibilities:
- Process new occupational health referrals accurately and within required timelines.
- Review referral information and ensure all required details are obtained to support service coordination.
- Acknowledge receipt of referrals and enter accurate information into internal systems and trackers.
- Coordinate assigned files from intake through to completion.
- Schedule assessments and follow up with providers, clients, and internal team members as needed.
- Monitor files to ensure timelines, priorities, and service expectations are being met.
- Identify priority, at-risk, or delayed files and escalate concerns appropriately.
- Provide accurate and timely updates to clients, providers, and internal stakeholders.
- Maintain strong working relationships with clients, providers, and team members.
- Prepare and submit billing information to Finance for completed services.
- Ensure billing details are accurate, complete, and submitted in a timely manner.
- Maintain accurate, real-time updates in dashboards, trackers, and internal systems.
- Ensure documentation is complete, consistent, and audit-ready.
- Support the preparation of draft client reports, including monthly, quarterly, and annual reporting.
- Participate in operational huddles and support team priorities.
- Contribute to a collaborative, solution-focused team environment.

Qualifications:
- Secondary School Diploma or equivalent.
- Post-secondary education in business administration, health administration, human resources, kinesiology, disability management, healthcare, or a related field would be considered an asset.
- Minimum of two (2) years’ experience in administration, coordination, occupational health, healthcare, disability management, insurance, or a related field.
- Experience working with confidential information, client files, referrals, scheduling, or service coordination.
- Experience using Microsoft Office applications, including Outlook, Word, and Excel.
- Previous experience working with databases, trackers, dashboards, or case management systems would be considered an asset.
This position is compensated on an hourly basis. The expected annual earnings for this role are $42,900, based on full-time hours.
