SOAN Mechanical Ltd. is a well-established mechanical contracting company serving Southwestern Ontario. We are currently seeking an experienced Office Administrator to join our team.
This position is ideal for someone who enjoys working in a fast-paced environment, takes pride in being organized, and enjoys supporting both customers and coworkers.
Position Details - Please note this is not an entry level position
Location: London, Ontario
Hours: Monday to Thursday, 8:00 a.m. – 4:30 p.m.

Key Responsibilities
- Answer and direct incoming telephone calls in a professional and friendly manner
- Provide exceptional customer service to clients, suppliers, and subcontractors
- Assist the estimating department with preparing and organizing tender documents
- Support our Project Managers with day to day tasks
- Assist with change orders and progress billings
- General office administration, including filing, document preparation, and data entry
- Prepare, edit, and maintain company documents and correspondence
- Manage incoming and outgoing mail and emails
- Maintain organized electronic and paper filing systems
- Support various administrative functions as required to keep the office operating efficiently
Qualifications
The successful candidate will possess:
- Previous experience as an Office Administrator (required)
- Previous experience working in a construction office (considered a strong asset)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with Microsoft Outlook and Adobe Acrobat
- Experience with change orders and progress billing
- Excellent customer service and communication skills
- Strong problem-solving abilities
- Exceptional attention to detail and organizational skills
- Ability to prioritize multiple tasks while working in a fast-paced environment
- Professional, dependable, and self-motivated with a positive attitude
