SUMMARY
Reporting to the Regional Director, the Property Information Officer is accountable for data verification, reporting and analysis, system configurations, business requirements gathering, Data Integrity and operational analytics.
KEY DUTIES & RESPONSIBILITIES
Account Operations and Systems Support
- Responsible for Account Operations & Systems support to BGIS Clients and Client Account Team Members.
- As the business representative, works closely with the project management team and development to ensure client requirements are captured and met for system enhancements.
- Executes data changes to the asset management and preventative maintenance systems as required.
- Compiles data related to KPI’s.
- Responsible for KPI data and presents to the Client monthly, identifies non-compliance and risk to performance incentives.
- Works with Client to ensure successful delivery of KPI and related data.
- Suggests new KPIs and innovations to the Client.
- Compiles data and documentation related to contract deliverables.
Continuous Improvement and Issue Resolution
- Continuously seeks ways to gain greater efficiencies through activities such as recommending and implementing best practices, collaborating with internal teams to implement sustainable practices and improvement initiatives.
- Developing best practices and documenting for delivery of training.
- Resolves problems and/or conflicts and maintains open communication with the client account team and specific clients including providing regular written and oral reports to in response to escalations.
- Recommends solutions and implements appropriate actions for issues.
- Recommends solutions related to contract non conformances.
- Responsible for quality management of procurement, FM and PDS initiatives.
Documentation, Training and Policy
- Assists with development, documentation and review of policies, processes, training materials and work instructions for internal and external users.
- Provides training as required.
- Uploads the appropriate documents, forms and submissions to the internal portal to be shared, monitored and reviewed by the client account teams.
- Updates process documents including work instructions, forms and policies.
Data Analysis and Reporting
- Compiling and analyzing operational, financial and key performance indicator data to support client account teams.
- Reviews and verifies accuracy of all compliance-related data submitted from all client business groups and product lines, identifies issues and works with team to ensure corrected information is provided.
- Prepares and distributes related reports to relevant concerned parties. Highlights non-compliant items for concerned parties action and tracks non-compliance items to closure.
- Assists with reporting activities by collecting/collating the required data from the various Real Property Systems.
Drawings and Layouts
- Prepares documentation in various media such as CAD, PDF, MS-Word, JPEG, etc. as required.
Compliance
- Provides training to Operations team members to facilitate understanding of compliance data related requirements and interpretation.
- Reviews compliance data and identifies process inefficiencies and inaccuracies, develops action plans and works with team leads to implement.
- Development of compliance-related processes through activities including the provision of data reporting and analysis, and research of best practices.
- implementation of compliance-related processes through activities such as coordination of process implementation with relevant concerned parties, process documentation, providing contents to presentations, etc.
Other
- Participates in special projects and ad hoc analysis as required.

KNOWLEDGE & SKILLS
- In depth understanding of compliance requirements of relevant external organizations.
- Community college diploma or equivalent training (e.g. RPA, CET).
- Proficient with Building Information Modeling systems, knowledge of Real Property and building management applications such as Archibus, AutoCAD, ReVit, CMMS, BAS, etc.
- Minimum of 5 years of relevant job-related experience.
- Knowledge of quality management practices, ISO 9001.
- Strong proficiency in MS Excel, PowerPoint and Word.

Licenses and/or Professional Accreditation
This is a regular, full-time position with a salary range of $73.600 - $92,000 per annum. The starting salary will be based on the successful candidate’s competencies, including but not limited to experience, education and performance related to this role.
