Job Overview
Pacific Physiotherapy – Hamilton is looking for a dedicated and personable Front Desk/Physiotherapy Assistant to join our clinic team. This role is a mix of front-office administration and hands-on support for our physiotherapists, making you often the first and last point of contact for our patients.
Front Desk Responsibilities
- Greet patients warmly upon arrival and check them in for appointments
- Answer and direct phone calls, emails, and general inquiries in a professional and timely manner
- Schedule, confirm, reschedule, and follow up on patient appointments using clinic software
- Process payments, handle billing, and manage insurance claims/direct billing submissions
- Maintain and update patient files, intake forms, and consent documentation
- Manage the waitlist and coordinate scheduling to minimize patient wait times
- Keep the reception and waiting area tidy, organized, and welcoming
- Order and track office/clinic supplies as needed
- Communicate with insurance providers, doctors' offices, and other healthcare partners as required
- Handle patient concerns or complaints at the front desk with professionalism, escalating when necessary
Clinical Support Responsibilities
- Assist physiotherapists in implementing treatment plans and following prescribed protocols
- Provide direct patient support with exercises, mobility, and daily therapeutic activities
- Maintain accurate treatment notes and progress documentation
- Prepare and clean treatment rooms and equipment before and after sessions
- Educate patients and families on home exercises and self-care strategies

Requirements
- Prior front desk, administrative, or customer service experience preferred

- Strong organizational skills and comfort multitasking in a busy clinic environment
