Acuren is currently recruiting an Operations Assistant to support our Nuclear Division based out of our Courtice, Ontario office location. This is a temporary/contract position to cover a maternity leave commencing July 2019 and ending November 2020. Reporting to the Operations Manager, Acuren Nuclear Services, the role serves as the sole administrative support to the operations department. The role supports the operational priorities arising out of active projects and assists areas such as resource scheduling and logistics, onboarding, document processing and management, reporting, and front line customer service to field staff and clients.

Responsibilities

Answer all incoming calls, greet visitors, answer inquiries, forward to appropriate personnel and take messages
File and records management
Assists in tracking project staffing and contract adherence
Books employee accommodations, airfare and vehicle rentals
Processes onboarding for field staff and maintains employee records (e.g. onboarding forms, certifications, qualifications, training)
Monitoring of certifications, training, and security clearances for expiry; reaching out to employees to prompt renewal
Processes, tracks and reviews nuclear security clearances
Assists in the collection of daily time reports from the field and validates accuracy against schedules
Attends internal and external meetings, and logs formal meeting minutes
Orders office supplies and takes care of general office upkeep
Position Requirements

Post-Secondary education in Office Administration
Minimum of 2 years’ experience working in an administrative role within the nuclear or construction industry
Proficient in MS Office applications in MS Windows environment
Experience working in a unionized environment would be considered an asset
A self-motivated “go-getter’, the successful applicant will be comfortable working independently, and has a ‘figure it out’ attitude.
A strong customer service orientation and a natural ability connecting with front line employees to drive a positive experience for employees and clients alike.
A high level of professionalism, confidentiality, strong time management and organizational skills.
Ability to effectively juggle multiple concurrent demands.
Demonstrated excellent communication and interpersonal skills.
Keen eye for detail.
Punctual and dependable.
Experience working in an industrial environment and with collective agreements would be an asset.
