The Opportunity: We are looking for a part-time receptionist to join our team! The receptionist will support our team by performing a variety of tasks. The ideal candidate will be highly organized, have a high attention to detail, and capable of managing multiple tasks with ease.
Key Responsibilities:
- answer telephone, screen and direct calls
- take and relay messages
- provide information to callers
- greet persons entering organization
- direct persons to correct destination
- deal with queries from the public and customers
- ensure knowledge of staff movements in and out of organization
- monitor visitor access and maintain security awareness
- provide general administrative and clerical support.
- prepare correspondence and documents.
- receive and sort mail and deliveries
- schedule appointments and interviews
- maintain a daily call log
- organize conference and meeting room bookings
- co-ordinate meetings and organize appointments for management
- monitor and maintain office equipment
- control inventory relevant to reception area
- Clean and tidy reception and lobby area
- order office supplies
- any other related responsibilities that may be assigned from time to time.
What you Bring:
· A minimum of 2 years of previous reception experience.
· Knowledge of office management systems and procedures.
· Excellent time management skills and ability to multitask and prioritize work.
· Strong organizational skills and meticulous attention to detail.
· Strong problem-solving skills.
· Excellent written and verbal communication skills.
· Proficiency in MS Office – Work, Excel, Outlook and PowerPoint
