This administration position may support EarlyON Operations in Waterloo Region and the City of Stratford. Typical work location is expected to be in Waterloo Region.
What you will do…

Answers telephone, social media messages, website chats, emails and visitor’s inquiries in an appropriate manner.

KEyON and Website support to the EarlyON system, professionals, and participants including data entry and problem-solving.

Support in the maintenance of a systematic and organized filing and archiving system

Contact clients through email, telephone, virtual platforms and in person, describing EarlyON, KEyON data entry and usage and triaging follow ups needed to the appropriate EarlyON Leadership team member.

Performs administrative duties - supporting the leadership and direct delivery teams and clients by organizing the incoming and outgoing mail, typing correspondence, proofreading, report generation, data entry, and filing.

Provides support with group sessions/workshop presentations and networking meetings, including note-taking, room bookings, scheduling, and Zoom channel bookings

Coordinates appointment bookings with community partners and participants.

Attends workshops, trainings, conferences and staff meetings as required.

Supports EarlyON leads in completion of online supply ordering from approved vendors.

Strong time-management skills with the ability to manage multiple tasks, prioritize effectively, and adapt to interruptions and changing priorities in a busy environment.

What you will bring….

3–5 years of related experience required, along with post-secondary education in administration, customer service, or a related field, or an equivalent combination of education and experience.

Working knowledge of computers, iPad, and Zoom / Teams platforms.

Strong analytical, problem-solving, and organizational skills, detail-oriented

Strong customer service skills

Strong adherence to quality and data entry expectations

Strong MS Office skills, especially Word, Excel, Teams, and Outlook

Ability to work with minimal supervision

Ability to maintain strong confidentiality as the position handles sensitive information

Strong understanding of the KEyON data entry system is an asset

Ability to communicate fluently in multiple languages is an asset

This role will be primarily based in the city of waterloo and may require to travel across the region, including regularly scheduled hours at sites which may not always be easily accessible through public transit. The employee must be able to arrange their own transportation to these sites.
