Job Summary
We are seeking a detail-oriented Accounting Specialist to join our escorted motorcoach tour company. In this role, You will handle our post-tour financial tracking and provide critical administrative support to our planning team. You will manage tour finances entirely within Microsoft Excel using manual data entry and formulas, and use Microsoft Word to assist our tour planners with itineraries and documents. You will bridge the gap between our office finances and our Tour Directors on the road by building clear, day-by-day cost breakdowns. Key Responsibilities
· Pre-Tour Manifest & Document Preparation: Create detailed, day-by-day cost breakdowns for booked hotels and attractions in Excel to serve as a vital guide for Tour Directors while on the road.
· Contract Negotiate & Review: Negotiate, read, interpret, and verify financial terms within vendor and hotel contracts to ensure billing accuracy.
- Planning Assistance: Use Microsoft Word to support tour planners with creating, formatting, and updating itineraries, guides, and vendor documents.
· Accounts Payable: Process payments for vendors, attractions, restaurants, and hotels according to contract schedules.
· Post-Tour Reconciliation: Audit, review, and reconcile all receipts, cash advances, and paperwork immediately upon a tour's return.
· Data Management: Maintain immaculate, accurate financial logs entirely within Microsoft Excel spreadsheets.
Qualifications & Skills
· Excel Proficiency: Advanced manual data entry, formatting and spreadsheet navigation skills are strictly required, as no external accounting software is used.
- Microsoft Word: Proficiency in Microsoft Word for document creation.
· Contract Literacy: Demonstrated experience reading and understanding hotel and vendor contracts.
· Math & Analytical Skills: Strong fundamental math skills to calculate precise per-person and per-room costs.
· Industry Experience: Prior experience in the motorcoach, travel, tourism, or hospitality industry is highly preferred.
· Attention to Detail: Ability to spot discrepancies in large stacks of post-tour paperwork and receipts.
Pay: $23.00-$25.00 per hour
