Job Summary
Reporting to the Associate Director, Academic Regulations, the Assistant Registrar is responsible for activities related to timetable operations and class scheduling. They manage a team of five full time staff that develop and build the academic timetable and formal examination schedule for all programs. The incumbent develops standards and approaches to ensure scheduling systems and technology support adaptability and effective space management for the Registrar’s Office, and broader university community.
Key Responsibilities
- Oversee academic scheduling processes, including the development of the undergraduate, graduate, and professional academic timetables, course administration, internal and external examinations.
- Manages the formal exam period including room set up, scheduling of invigilators, and is key point of contact for issues that arise during the exam period.
- Develop and implement data reporting and analytics to illuminate current state of academic scheduling and space utilization at Dalhousie and support evidence-based decision making in support of Strategic Enrolment Management for the University.
- Lead the implementation of new projects related to academic scheduling, space utilization, internal and external examinations.
- Investigate new initiatives and best practices in the academic mobility and Higher Education industries
- Responsible for the daily management of five full time staff members.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
- Undergraduate degree and minimum of three to five years’ related administrative experience in post-secondary environment (or an equivalent combination of training and experience).
- Demonstrated excellence in oral and written communications.
- Considerable knowledge of scheduling support applications such as Oracle, student information systems or databases (preference given to Ellucian products such as Banner), Infosilem Scheduling Software, Enterprise Room Booking Software.
Assets
- Experience in academic records, information management, and/or large-scale scheduling.
