In this role you will be responsible for supporting our team in working on multi-discipline projects for a variety of public and private sector clients.

What you’ll do
Responsibilities will include:
- Supporting the team through meeting organization:
- Preparing and managing agendas and meeting records for internal and client meetings
- Action item tracking
- Meeting follow-ups
- Providing administrative assistance to our managers, engineers, technologists, and other team members
- Reviewing client agreements for quality control
- Coordinating budgets
- Coordinating invoicing
- Producing monthly earned value forecasting
- Preparing project tender documents, specifications, and letters in accordance with our professional standards
- Completing analysis and interpretation of data
- Coordinating the logistics of project tender submissions
- Records management of the Regina Infrastructure Division
- Assisting with proposal preparation and other business development activities.
- Providing support to other members of our team and complete other duties as assigned
You have an eye for detail, creating, and assuring reports conform to project and company standards regarding quality, content, and format. You provide excellent customer service, delivering project management support services to your team and external clients (e.g., change orders, workplans, scheduling, engineering agreements, and contract documents). You maintain a current knowledge of project technical specifications and implications.
This position may also support various proposal/marketing initiatives for the Regina office, as needed.
You will report to the Division Manager, Regina Infrastructure, and be a part of a dynamic, high-performance team.
Does this sound like you?
Business Administration or Office Administration diploma from an accredited post-secondary institution (as a minimum)
- 6 to 8 years of administrative experience in a professional office environment
- Experience in the coordination of projects
- Experience in customer/client service
- Advanced capabilities in Microsoft Word, Excel, PowerPoint, and SharePoint
- Experience with PowerBI is an asset
- Excellent oral communication skills
- Excellent written communication skills, including ability to write professional reports
- Highly detail-oriented
- Demonstrated ability to work independently and use good judgement
- Ability to work within tight deadlines and schedules
- Strong data gathering and analysis skills
- Prior experience with accounting functions such as invoicing is an asset
- Prior experience using graphic design software (e.g. Photoshop, InDesign) is an asset
- Prior experience with marketing/business development activities is an asset
- Prior experience in the consulting engineering industry is an asset
