Position Summary:
The Procurement Coordinator supports purchasing and strategic sourcing activities by coordinating procurement processes, maintaining accurate records, supporting supplier and stakeholder relationships, and ensuring compliance with organizational policies and applicable legislative requirements. This position is responsible for processing and expediting purchase orders; coordinating product evaluations, trials, conversions, and implementations; assisting with supply, invoice, return, backorder, and recall-related issues; and supporting contract administration, reporting, and procurement system activities.
Working closely with Sourcing Specialists, internal stakeholders, and suppliers, the Procurement Coordinator helps deliver timely, efficient, and value-driven procurement services that support operational and strategic objectives.
Key Responsibilities
- Process, monitor, and expedite purchase orders for goods and services in accordance with organizational policies, procurement procedures, and applicable legislation.
- Coordinate product evaluations, trials, conversions, and implementations with clinical stakeholders and suppliers.
- Coordinate product returns, backorders, recalls, and supply issues to ensure continuity of operations and timely resolution.
- Investigate and coordinate the resolution of pricing, receiving, purchase-order, and invoice discrepancies with Finance, Logistics, internal requestors, and suppliers.
- Maintain complete and accurate purchasing, sourcing, and contract records, including documentation related to renewals, amendments, approvals, and retention requirements, to support compliance and audit readiness.
- Support contract administration activities, including document management, contract renewals, amendments, and record retention.
- Communicate with suppliers regarding pricing, availability, delivery, product, and contract-related matters.
- Coordinate with Supply Chain, Finance, Logistics, clinical programs, and other stakeholders to support timely issue resolution and effective procurement processes.
- Provide guidance, training, and support to end users on procurement processes, requisitioning procedures, and procurement systems.
- Collect, maintain, validate, and analyze procurement and supply chain data to support reporting, decision-making, and operational planning.
- Prepare and assist with spend analysis, compliance reporting, inventory-related analysis, and key performance indicator reporting.
- Support procurement-related ERP data maintenance, user acceptance testing, system upgrades, issue identification, and data-integrity activities.
- Identify and participate in continuous improvement initiatives that enhance procurement processes, service delivery, operational efficiency, and data quality.
Assist with other procurement and sourcing activities as assigned.

Position Requirements:
- Two-year college diploma in Business, Supply Chain Management, Purchasing, Logistics, Finance, or a related field.
- Minimum one year of related experience in procurement, purchasing, supply chain, contract administration, or materials management.
- Experience processing purchase orders, maintaining procurement records, and supporting contract administration activities.
- Knowledge of procurement principles, public-sector purchasing practices, contract administration principles, and supplier relationship management.
- Strong analytical and problem-solving skills with the ability to investigate discrepancies, resolve issues, and interpret data.
- Proficiency with ERP systems, procurement software, Microsoft Excel, and other Microsoft Office applications.
- Demonstrated ability to maintain accurate records, ensure data integrity, and prepare reports.
- Excellent organizational skills with the ability to manage multiple priorities, adapt to changing demands, and meet deadlines.
- Strong interpersonal, communication, and customer service skills, with the ability to collaborate effectively with internal stakeholders and external suppliers.
- Experience providing training, guidance, or user support related to systems and processes is considered an asset.
- Demonstrated commitment to accuracy, compliance, continuous improvement, and maintaining confidentiality of sensitive information.
- Professional purchasing or supply chain designation (e.g., SCMP, CPPB, CPM), or progress toward a designation, is considered an asset.
Knowledge of Ontario's Broader Public Sector Procurement Directive, applicable trade agreements, and healthcare supply-chain practices is considered an asset.
