JOB SUMMARY
The primary focus of this position is customer service, receiving and inventorying all shipments to the Shop in the Garden, as well as ensuring that the inventory is well maintained and well organized for customers. A strong understanding and passion for plants, botanical gardens and curiosity to learn are all vital elements in providing excellent experiences for all of UBC Botanical Garden's visitors.
This position is part-time and has flexible hours.
ORGANIZATIONAL STATUS
The Inventory Clerk reports to the Associate Director, Administration, and works closely with the Shop Staff and Friends of the Garden Volunteers to ensure the successful operations of the Shop in the Garden at UBC Botanical Garden.
WORK PERFORMED
Receives, prices and barcodes inventory, including verifying received stock goods, preparing and affixing labels and/or barcodes to stock, shelves and inventory stockroom.
Enters inventory in retail point of sales system.
Ensures stockroom shelves are well stocked, organized and goods are labeled. General organization of stock/shelves throughout the Shop in the Garden, including moving and unpacking of shipments.
Tracks sales of goods and assists in ordering replacement of retail goods.
Acts as first point of contact and responds to incoming phone calls, emails and handles forwarding to appropriate buyer and/or Garden employee.
Greets and serves customers, handles customer requests for special order items, prepares and records sales using point of sales system.
May be asked to instruct and/or train other Shop staff.
Recommends and implements projects or system changes to make improvements to the inventory and purchasing of Shop retail items.
Carries out any other related duties as necessary in keeping with the requirements of the job.
Performs physical inventory counts/cycle counts and related inventory data entry tasks in Shopify and Stocky point of sales system.
Collaborates on drafting processes and procedures within the Garden.
Ensures that software and hardware are in working order and escalates issues for resolution.
Maintains accuracy of inventory database, adding new vendors and discontinuing lapsed vendors.
Contributes to expanding Garden Branded product lines.
Ensures that any updates to point of sales system are relayed to Garden cashiers, including addressing discounted items, and changes to the look/feel of tiling within the current point of sales system.
CONSEQUENCE OF ERROR
All information must be accurate and provided in a courteous, respectful, timely and supportive way. Client service decisions and attitudes have a direct impact on the Shop in the Garden operations. Incomplete information or mishandling of retail goods, including clients inquiries, concerns, or problems can cause a negative impact on the UBC Garden and the reputation of UBC.
Inability to deal with the public and volunteers in tactful, helpful and courteous manner would directly affect the operations and give an adverse image of the Botanical Garden to the University and to the public.

Receives detailed instructions during orientation and on new assignments or changes in procedures. Carries out duties the day of event with no supervision and addresses any new unusual problems to the Administrative Manager.

QUALIFICATIONS

High School graduation. Valid Drivers License preferred 1 years relevant experience or the equivalent combination of education and experience. Previous experience using point of sales system, entering data and tracking inventory. Must be available to work weekends and some weekday evenings. (Varied hours between 9am - 6pmt). Ability to communicate effectively verbally and in writing. Ability to
communicate in a clear, attentive, and polite manner. Ability to listen actively and attentively, and obtain clarification as required. Ability to deal with people in a courteous, calm manner. Ability to effectively resolve client complaints in a calm,
non-confrontational manner, and by exercising sound judgment. Ability to work effectively with minimal supervision.
