Position Summary:
We are seeking a collaborative, organized, and ambitious Office Manager (OM) to join our team.
Reporting to the Director of Finance, the Office Manager provides leadership to Finance and Administration staff. This position is an enabling position, ensuring that the vison and mission of the Alzheimer Society of Saskatchewan is achieved throughout the numerous activities it undertakes.
The OM contributes to the following key outcomes:
- Increased efficiency, transparency, and communication for all financial and administration processes, aligning daily office procedures with broader organizational goals
- Staff have appropriate workspace, technology, training, and support to do their jobs effectively
- ASOS systems are updated, effective, and used efficiently and appropriately to ensure highest impact to the organization
The OM will be responsible to provide office management, overseeing the support of office leases, contracts, insurance, capital assets, and property/facility management of multiple offices. The OM is also responsible to support staff to ensure workplace, workspace, technology, training, and support is offered continuously. The OM will be responsible to oversee financial and administration operations, with the support of their team.
Key Responsibilities:
Office Management
Oversee and Manage the support of:
o Office Leases
o Office Contracts (photocopier, postage machine, telephone, internet, database, etc.)
o Insurance coverage for all offices and events
o Capital Assets are purchased according to policy and accounted for
o Property/facility management of multiple offices across the Province
o Other contracts and agreements as relevant
Supporting staff to ensure workplace, workspace, technology, training, and support is offered continuously
Manage the development of office administrative procedures for provincial office and regional resource centres, ensuring they are developed, formalized, and communicated appropriately.
Management of Information, Technology, and Systems
Management of the relationship and first point of contact with WBM for the provision of IT and copy services.
Management of the relationships and first point of contact with Sasktel for telephone services.
Provide organizational leadership and management in the ASOS to ensure staff have appropriate education, information, and access to technology and support staff with issues related to WBM and Sasktel.
Develop, monitor, and deliver cyber security training for all ASOS staff
Able to navigate and troubleshoot technology issues with the respective vendors.
Maintain knowledge of IT and copy services; telephone services; Sage and eTapestry.
Support with the evaluation of new technology to meet the organization’s financial, client, donor and volunteer data processing requirements.
Support system improvement projects
Financial Support
Oversee key financial processes undertaken by finance and administration staff
Prepare and process general ledger journal entry transactions.
Prepare and update financial reporting including reconciling key accounts.
Assist with the annual organization budget and grant budget processes.
Participate in the preparation of working papers and support for the annual audit.
Participate in the preparation of working papers and support for the completion of the annual charitable return T3010.
Manage and maintain Corporate Credit Card Program with RBC in collaboration with the Director of Finance.
Human Resource Support
Leading the overview and improvement of the continuum of employee recruitment, onboarding, and orientation
In collaboration with the DF, support payroll responsibilities
Qualifications:
Post-secondary education and 5+ years work experience in office management
Proven experience in leading and managing people
- Proven experience overseeing financial and administrative operations
- Skills around collaboration, organization, and communication
