Position: Executive Assistant I
Location: Toronto General Hospital
Department: Medical Imaging and Laboratory Medicine
Reports to: Vice President, Clinical & Director, Outpatient Strategy & Diagnostic Performance Laboratory Medicine Program
Hours: 37.5 hours per week
Salary: $28.52 to $35.65 per hour
Status: Temporary Full Time (13 months)
Reporting to the Vice President, Clinical & Director, Outpatient Strategy & Diagnostic Performance, the Executive Assistant exercises considerable judgment and independence to provide complex administrative support services. This role requires a detail-orientated, self-driven, proactive professional with a high degree of organization, passion for continuous improvement, and ability to navigate a complex organization with political astuteness.
As Executive Assistant your key responsibilities will be:
Ensuring efficient operation of the office
Organizing, and continuously improving, ongoing business office processes (e.g. procurement)
Facilitating the production of documents/materials (i.e. minute-taking, presentations, spreadsheets)
Coordinating and maintaining executive schedules/calendars
Coordinating, organizing or planning meetings/events
Developing, organizing and maintaining electronic and paper information filing/retrieval methods, systems or formats
Performing clerical support functions
Performing committee meeting responsibilities, as required
Performing other duties consistent with the job classification, as assigned
QUALIFICATIONS
Completion of a recognized business post-secondary program at the diploma or degree level, or recognized equivalent. Masters degree is preferred.
Five (5) years related administrative support experience
Excellent organizational and time management skills
Excellent verbal and written communication skills
Excellent interpersonal and customer service skills
Ability to produce professional documents on behalf of VP and PMD
Ability to produce high quality work in accordance with Hospital standards
Ability to work well under pressure and use good judgment in assessing difficult situations
