We are seeking a compassionate and professional Administrative Assistant to join our team.
About the Role
You will be the first point of contact for patients, providing professional reception and supporting daily clinic operations. This includes managing check‑ins, answering inquiries, preparing charts, processing diagnostic reports, and ensuring documentation is accurate and sent to community providers. The role also involves supporting clinic flow, quality assurance tasks, and general administrative work.
Key Responsibilities
- Provide warm and professional reception for patients and visitors
- Manage check‑in, validate patient information, and handle incoming calls/emails
- Prepare charts, clinic materials, and patient letters in the EMR
- Process diagnostic test reports and send results to physicians
- Assist with scheduling and follow‑up appointments
- Upload and distribute clinical letters accurately and on time
- Support quality assurance activities and administrative projects
- Collaborate with nurses, physicians, and admin team members
- Maintain confidentiality and accuracy in all patient records
What We’re Looking For
- Strong customer service and communication skills
- Ability to multitask and stay organized with frequent interruptions
- High attention to detail and accuracy
- Proven reliability and solid attendance
- Comfortable learning quickly in a busy medical setting
- Experience with EMRs (Accuro preferred) and Microsoft O365 an asset
- Medical office experience helpful but not required for the right fast learner
- BCLS certification (or willingness to obtain)
