The Membership Coordinator, reporting to the Director of Membership & Engagement, is a key representative of the Calgary Winter Club and plays an important role in delivering professional, welcoming, and high-quality Member experience.
This position is responsible for maintaining the integrity of Shareholder family accounts, including accurate Member information, photos, Membership categories, dues, account changes, and related documentation. The Membership Coordinator supports Members across a variety of categories, including Active, Social, Non-Resident, and Waitlist, while ensuring all Membership information is handled with discretion, accuracy, and confidentiality.
The Membership Coordinator provides a welcoming first impression for new Members and supports Members throughout their Membership journey, including onboarding, family changes, account transitions, reciprocal club inquiries, billing questions, and resignation processes. This role requires strong empathy, sound judgment, professionalism, and the ability to build trust with Members while applying Club policies consistently.
In addition, the Membership Coordinator supports Member engagement, communications, and onboarding initiatives that strengthen the overall Member experience and reinforce the Calgary Winter Club’s reputation as one of Canada’s leading private clubs.
Additional Accountabilities
- Collaborate with the Marketing & Communications Manager by providing accurate and timely annual dues information, including approved rates, membership statistics, supporting details, and key dates for Member communications
- Facilitate the resignation process for Members relinquishing their CWC share
- Support the reciprocal club database and process by serving as the main contact for queries and ensuring requests, records, and communications are handled accurately and consistently
- Collaborate with the Engagement Division, Communications, and Food & Beverage to create and deliver engaging Member experiences including “Clubs within a Club” activities and initiatives
- Assist in capturing Member stories, photos, and videos for use in Club communications
- Ensure membership information, forms, policies, and resources on the Club website and app
- Build strong relationships to enhance the Member experience, ensuring trust and professionalism in every interaction
- Collaborate on delinquent accounts, providing context and suggestions where necessary
Knowledge & Skills Required
- Exceptional attention to detail and organizational skills
- Empathy, trustworthiness, and professionalism to support Members effectively
- Strong interpersonal and communication abilities
- Proficiency with Club software programs, Microsoft Office, and CRM systems
- Analytical skills to manage billing and account adjustments
- Ability to manage priorities and deliver results under deadlines
- Bachelor’s degree in business administration, communications, or related field, or equivalent experience
- Minimum of 5 years in Membership management, customer service, or a similar role
- Familiarity with billing systems and account management preferred
- Proven ability to engage with diverse stakeholders, including Members and staff
- Knowledge of private Club operations is an asset
- Experience in communication and marketing is an asset

Pay: $65,000.00-$75,000.00 per year
