As our organization continues to grow, we are looking for a detail-oriented and organized Accounting & Bookkeeping Administrator to support our accounting department and help keep day-to-day financial paperwork, transactions, and reporting accurate and up to date.
Position Summary
The Accounting & Bookkeeping Administrator will provide hands-on support by managing transaction-heavy administrative accounting tasks. This role is ideal for someone who is strong with computers, comfortable using QuickBooks, highly organized, and accurate with receipts, vendor bills, invoices, expense coding, and financial documentation.
Key Responsibilities
- Enter, organize, and maintain receipts, invoices, vendor bills, credit card expenses, and other accounting documents
- Code expenses and job-related costs in QuickBooks as directed
- Process accounts payable vendor invoice entries
- Assist with vendor and supplier reconciliations
- Help resolve missing backup, receipts, invoices, purchase documentation, and other accounting paperwork
- Prepare and issue customer invoices with accurate supporting documentation
- Support accounts receivable follow-up and collections activities as required
- Assist with company purchase orders
- Assist with employee expense reports
- Record credit card expenses and attach related invoices and receipts
- Maintain organized digital and physical accounting records
- Support payroll administration and coordination as required
- Assist with monthly reporting and financial administration tasks
- Support GST, PST, WCB, and other accounting-related filing or reporting preparation as directed
- Assist with job costing backup, documentation, and data entry
- Communicate with employees, vendors, and internal teams to collect missing information and resolve paperwork issues
- Provide general administrative support to the accounting department
Qualifications
- Experience with QuickBooks is strongly preferred
- Previous experience in bookkeeping, accounting administration, accounts payable, accounts receivable, invoicing, or office administration is an asset
- Strong computer skills and ability to learn software quickly
- Proficiency with Microsoft Office, especially Excel and Outlook
- Experience with accounting software such as QuickBooks
- Experience with 4CastPlus and Square Point Of Sale is considered an asset
- Strong understanding of financial record keeping and invoice management
- Excellent attention to detail and accuracy
- Strong organization, communication, and follow-up skills
- Comfortable handling repetitive transaction volume and competing priorities
- Experience in construction, industrial services, trades, or project-based work is an asset
- Post-secondary education in business administration, accounting, or bookkeeping is considered an asset
