We are looking for a sharp, organized individual to anchor our front desk and keep our operations and finances locked down.
Job Summary
We are seeking a high-energy, detail-oriented Office Administrator & Operations Coordinator. Sitting at the front desk, you will be the central hub of our business. You will manage the office, greet visitors, support shop/fleet operations, and handle the day-to-day accounting.
Duties
- Create and send accurate invoices for truck repairs and freight hauling.
- Input vendor bills (like parts and fuel), match them to receipts, and prepare them for payment.
- Check bank accounts and call customers to collect overdue payments.
- Keep the books updated by logging daily expenses, receipts, and fuel sheets into the accounting system.
- Answer phones, take messages, and greet drivers, mechanics, and customers.
- Organize and track work orders, bills of lading (BOLs), driver logs, and truck maintenance folders.
- Help track parts orders and keep truck service schedules organized.
- Order office supplies, handle incoming mail, and keep the front desk clean and tidy.
Experience
- 2 or more years working in a busy office or doing basic bookkeeping. (Experience in a trucking company or repair shop is a huge plus).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace is essential.
- Quick at learning new software programs.
- Friendly on the phone and in person with drivers and customers.
- Able to multitask easily without getting stressed when the office gets busy.
- Organized enough to keep files and paperwork exactly where they belong.
