Position Summary
Gerry’s Roofing & Siding Inc. is seeking a highly organized, proactive, and detail-oriented Executive Assistant to directly support the President of our growing residential exterior renovation company.
This is a full-time, in-office role for someone who thrives in a fast-paced construction and contracting environment, communicates professionally, follows through on details, and can be trusted with sensitive company information.
The Executive Assistant will serve as the President’s right hand by managing scheduling, communication, meeting preparation, follow-up, documents, and administrative priorities. Since the President is currently also overseeing production management responsibilities, this role will also assist with production-related coordination, communication, scheduling support, documentation, and follow-up until a dedicated Production Manager role is filled.
The ideal candidate is confident, dependable, discreet, and able to keep the executive office organized and moving efficiently.
Key Responsibilities
Executive Calendar, Email & Communication Management
- Manage, organize, and prioritize the President’s email inbox to ensure urgent matters are addressed promptly.
- Oversee the President’s daily, weekly, and monthly calendar, including meetings, appointments, calls, vendor meetings, client-related items, and internal priorities.
- Screen incoming calls, emails, meeting requests, and inquiries, routing them appropriately to protect the President’s time.
- Draft, review, and coordinate professional correspondence on behalf of the President.
- Ensure follow-ups, reminders, and important deadlines are not missed.
Meeting Preparation & Follow-Up
- Prepare agendas, reports, presentations, documents, and supporting materials for executive and management meetings.
- Attend selected meetings to take accurate notes, record decisions, and track action items.
- Follow up with managers, department heads, vendors, or team members to gather updates and ensure commitments are completed.
- Maintain organized records of meeting notes, action items, and project updates.
Executive & Production Support
- Assist the President with operational and production-related coordination while the company continues to build out its production leadership team.
- Help track production-related tasks, job updates, outstanding decisions, scheduling needs, and follow-up items.
- Coordinate communication between the President, office staff, field crews, suppliers, subcontractors, and customers.
- Assist with scheduling support, production documentation, work orders, job files, and project-related correspondence.
- Follow up with team members to gather updates and ensure important production items are not missed.
- Help the President stay organized across both executive leadership responsibilities and day-to-day operational priorities.
Administrative & Document Support
- Maintain, digitize, and organize corporate files, contracts, reports, legal documents, and confidential records.
- Assist with scanning, printing, filing, mail, document preparation, and other essential office administration tasks.
- Help ensure important information is easy to find, properly filed, and handled with professionalism.
- Support the President with administrative tasks related to company operations, customer matters, vendors, staff, and leadership priorities.
Project & Priority Coordination
- Track key company priorities and follow up on outstanding items on behalf of the President.
- Assist with coordination of internal projects, leadership initiatives, events, vendor matters, and operational follow-through.
- Help reduce administrative bottlenecks by keeping communication, tasks, and documents organized.
- Provide proactive support by anticipating needs, identifying gaps, and helping the President stay focused on high-value priorities.
Qualifications & Requirements
- Minimum of 2 years of full-time experience as an Executive Assistant.
- Additional experience as an Administrative Assistant, Office Manager, Operations Coordinator, or similar role is considered an asset.
- Experience in construction, trades, roofing, renovation, or a field-service business is a strong asset.
- Strong proficiency with Microsoft Office Suite, especially Outlook, Word, Excel, & PowerPoint.
- Comfortable using Google Workspace and able to quickly learn construction or field-management software.
- Excellent organizational and time-management skills with strong attention to detail.
- Strong written and verbal communication skills.
- Comfortable communicating with managers, office staff, crew leaders, suppliers, clients, and professional advisors.
- Able to manage competing priorities in a fast-paced environment.
- Confident following up with others to obtain updates, documents, decisions, and completed tasks.
- Proven ability to handle confidential financial, legal, HR, customer, and company information with discretion.
- Professional, dependable, proactive, and able to work independently with minimal supervision.

What We Offer
- Salary of $60,000–$80,000 per year, depending on experience.
