Our client is an established Commercial Real Estate company looking for an Assistant Property Manager! Their real estate portfolio is comprised of office and retail properties.
Position Outline
The successful candidate will be primarily responsible in assisting the Property Manager with the day-to-day management of the portfolio, including the Building Operations, Accounts Receivable, Accounts Payable, Tenant Relations and Installation of Tenant Improvements and other related construction.
Specific Accountabilities
- Assist with the development and establishment of tenant relationships, systems, policies, procedures and tenant programs.
- Assist with the review, interpretation and negotiation of external contracts to ensure terms and conditions are in the best interest of the Employer and Portfolio.
- Prepare and update Tenant Manuals and Fire Safety Plans.
- Ensure that Occupational, Health and Safety legislation and regulations are being adhered to as per Management’s Safety Program. Training provided to become the Occupational Health & Safety Manager Representative.
- Remain current on new trends and innovations in the field of building code and operations and ensure legislative requirements (including Occupational Health & Safety) are met.
- Conduct inspections of the Property, including but not limited to annual environmental inspections, housekeeping, tenant coordination and maintenance as directed by the Property Manager.
- Tenant correspondence, including memos and newsletters
- Assist with tendering process for contracts (snow removal, window cleaning, landscaping, janitorial, etc.), as directed by the Property Manager.
- Liaison, as required or as directed, with tenants, contractors, on-site security and cleaning contractor's staff and with our operations, maintenance, accounting, leasing and corporate staff.
- Preparation and coordination of Management meeting minutes, Petty Cash Management, Bank Deposits.
- Preparation of Temporary Occupancy Agreements.
- Responsible for maintaining and updating the retail website and digital directory boards, ensuring tenant listings remain current, coordinating monthly tenant promotional advertisements, and managing the coordination and scheduling of social media content and updates.
- Other duties as assigned.
Job Qualifications
- Minimum 2-5 years in Property Management experience in a retail and commercial setting, including experience with commercial and retail leases and working with tenants
- Proficient in Microsoft Word and Excel, knowledge of Yardi beneficial. Some accounting knowledge is beneficial
- A proven ability to build relationships externally and at all levels of an organization. Enjoys leading by example. Employing a “can-do” attitude that will positively influence and energize the Team.
- Well demonstrated in written, verbal report writing, presentations, and meeting facilitation.
- Capable of being proactive and taking initiate to potential issues or situations and ability to diffuse a matter. Demonstrates resilience, passion for the role and commitment to delivering superior customer service. Entrepreneurial and innovative.
Compensation
- Annual base salary of $60,000 - $70,000
