Overview
We are looking for a highly organized and detail-oriented team member to support the flow, structure, and execution of our marketing and promotional work.
This role is critical to keeping projects moving, information accurate, and communication clear. You will work closely with the Director of Marketing, the marketing team, vendors, and internal stakeholders to ensure all work is organized, tracked, and completed to a high standard.
Key Responsibilities
Workflow & Organization
- Coordinate and track ongoing marketing projects to ensure tasks move forward on time
- Maintain accurate records of all work, including offers, materials, and communications
- Ensure all files, documents, and assets are stored in the correct locations and kept up to date
- Identify gaps, missing information, or stalled items and proactively follow up
Data & Reporting
- Pull and compile data from internal systems to support decision-making
- Assist with organizing and validating information used in promotions and planning
- Work confidently within Excel to manage data, validate accuracy, and support reporting needs
Vendor & Internal Communication
- Draft and send communications to vendors regarding promotions, approvals, and updates
- Track vendor responses and ensure timelines are met
- Coordinate internally with team members to gather required inputs and confirmations
Process Support
- Support the execution of promotional cycles, campaigns, and internal workflows
- Help maintain consistency in how work is documented, tracked, and delivered
- Continuously look for ways to improve organization, efficiency, and clarity across processes

- Work is consistently organized, easy to find, and up to date
- Projects move smoothly with minimal follow-up required
- Vendors and internal teams receive clear, timely communication
- Data is accurate, reliable, and easy to interpret
- The marketing team operates more efficiently because of your support
Skills & Qualities
- Strong proficiency in Microsoft Office 365 (Outlook, Teams, SharePoint, Excel) is required
- Must be confident and comfortable working in Excel (sorting, validating, organizing, and analyzing data)
- Strong organizational and time management skills
- High attention to detail and accuracy
- Comfortable working with data, spreadsheets, and structured systems
- Clear, professional written communication
- Proactive mindset—identifies issues and solves them before they escalate
- Ability to manage multiple tasks and priorities simultaneously under pressure
Preferred but Not Required:
- Interest in and experience with Adobe Photoshop or graphic design tools
- Interest in or engagement with creative or artistic pursuits
- Familiarity with shared drives, file structures, and document management systems
- Experience working in a fast-paced, detail-heavy administrative or marketing support role
