Job Summary
We are seeking a highly organized and detail-oriented Office Administrator and Dispatch Coordinator to join our team. This role is vital in ensuring smooth daily operations, managing communication, and supporting administrative functions within our office. The ideal candidate will possess strong computer skills, excellent customer service abilities, and experience with office management systems to effectively coordinate dispatch activities and maintain administrative workflows.
Duties
- Manage incoming calls using multi-line phone systems with professionalism and courtesy, providing exceptional customer support.
- Coordinate dispatch of personnel or services efficiently, ensuring timely responses to client requests.
- Maintain accurate records through data entry, filing, and document management using Microsoft Office, Google Workspace, and QuickBooks.
- Handle front desk responsibilities including greeting visitors, managing appointments, and overseeing office operations.
- Perform clerical tasks such as proofreading documents, organizing files, and preparing reports.
- Support bookkeeping activities including invoicing and basic financial record keeping.
- Assist with medical or dental office administrative duties if applicable, including patient scheduling and insurance processing.
- Ensure office supplies are stocked and equipment is maintained for optimal operation.
- Provide administrative support to other departments as needed to ensure organizational efficiency.
Qualifications
- Proven experience in office administration or clerical roles with familiarity in office environments such as medical or dental offices preferred.
- Strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace, QuickBooks, and data entry.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Exceptional phone etiquette and customer service skills to handle inquiries professionally via multi-line phone systems.
- Experience with filing systems, proofreading documents, and managing administrative tasks accurately.
- Prior experience in bookkeeping or financial record keeping is a plus.
- Ability to work independently with minimal supervision while maintaining attention to detail.
- Strong organizational skills combined with excellent communication abilities are essential for success in this role.
Pay: $17.20-$24.00 per hour
