We are seeking a highly organized and detail-oriented Project Coordinator to support our development and construction team in Calgary. This role is critical in ensuring smooth project execution by coordinating documentation, tracking progress, and supporting communication between internal teams, consultants, and contractors.
Key Responsibilities
Project Coordination & Administration
- Maintain and organize project documentation including contracts, drawings, permits, and correspondence
- Assist in the preparation and distribution of tender packages and construction contracts
- Track project timelines, milestones, and deliverables
- Coordinate meetings, prepare agendas, and record minutes
Financial & Contract Support
- Process invoices, change orders, and progress draws
- Assist with budget tracking and cost reporting
- Maintain accurate records of contracts and amendments
- Liaise with accounting to ensure timely payments and reporting
Communication & Stakeholder Coordination
- Act as a point of contact between project managers, consultants, contractors, and internal teams
- Support coordination with municipal authorities and regulatory bodies in Calgary
- Ensure timely distribution of project updates and documentation
Compliance & Documentation
- Assist with permitting and approvals processes
- Ensure all documentation complies with company standards and regulatory requirements
- Maintain document control systems and version tracking
Qualifications
- Diploma or degree in Construction Management, Business Administration, or a related field
- 1-3 years of experience in construction administration, preferably with a developer or general contractor
- Strong knowledge of construction documentation and project lifecycle
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with project management software (e.g., Procore, Aconex) is an asset
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- 2 Years of construction experience is required
Preferred Skills & Experience
- Familiarity with local regulations and permitting processes in Calgary
- Experience working on residential, commercial, or mixed-use developments
- Ability to manage multiple projects and deadlines simultaneously
- Attention to detail and problem-solving mindset
