ASSISTANT PROPERTY MANAGER

POSITION SUMMARY
Reporting to the Property Manager, the Assistant Property Manager plays a key role in supporting the day-to-day operations of residential properties within the Zen Residential portfolio. This position focuses on operational support, resident relations, leasing team coordination, property standards, and overall site performance.
The successful candidate is organized, proactive, and service driven, with a genuine passion for creating exceptional resident experiences and thriving in a fast paced property management environment.
KEY RESPONSIBILITIES
Operational and Administrative Support
- Support the Property Manager with the daily operations of the property.
- Maintain organized and accurate resident, leasing, and operational records.
- Complete reports, documentation, and database management within Yardi and related systems.
- Monitor and support the completion of operational tasks and site follow ups.
Resident Relations and Customer Service
- Provide professional and responsive customer service to residents and guests.
- Address resident inquiries, concerns, and service requests in a timely manner.
- Support resident retention initiatives and help foster a positive community atmosphere.
- Escalate complex resident concerns to the Property Manager as required.
Property Management Support
- Assist with move in and move out coordination, including inspections and related documentation.
- Support lease renewal administration and resident communication.
- Assist with rent collection, arrears follow up, and tracking tenant violations in accordance with company policies.
- Support the enforcement of property policies and procedures.
Leasing Team Leadership and Support
- Provide day to day support, guidance, and coordination to Leasing Associates and the broader leasing team.
- Support leasing operations to ensure timely follow up, strong customer service, and alignment with occupancy goals.
- Assist with onboarding and training new Leasing Associates on company processes, standards, and expectations.
- Monitor leasing activity, traffic, and prospect follow up to ensure consistency and accountability.
- Collaborate with the leasing team to support resident retention, suite readiness, and resident experience initiatives.
- Act as a point of support for the leasing team in the absence of the Property Manager.
Property Standards and Maintenance Coordination
- Conduct regular property walkthroughs to identify maintenance, cleanliness, or safety concerns.
- Coordinate with maintenance and cleaning teams to ensure suites and common areas meet company standards.
- Assist with ensuring vacant suites are prepared and market ready.
- Support overall property safety, cleanliness, and curb appeal.
Community Engagement and Team Collaboration
- Support resident events, engagement initiatives, and community programming.
- Help create a welcoming and community focused living experience for residents.
- Collaborate with the Property Manager, Leasing Associates, Maintenance team, and broader operations team.
- Assist with site projects, operational initiatives, and other responsibilities as required.
- Participate in team meetings, training, and professional development opportunities.
QUALIFICATIONS
- Previous experience in property management, leasing, customer service leadership, or a related field.
- Strong customer service and relationship building skills.
- Excellent communication and interpersonal abilities.
- Strong organizational skills with the ability to manage multiple priorities.
- Detail oriented with strong problem solving and conflict resolution skills.
- Proficiency with Microsoft Office applications.
- Experience using Yardi or other property management software is considered an asset.
- Knowledge of residential tenancy legislation is considered an asset.
- Post secondary education in Business Administration, Real Estate, or a related field is considered an asset.
- Valid driver's licence and reliable transportation.
- Ability to work occasional evenings and weekends as required.
