As a Client Experience Specialist, you are often the first friendly face and the steady, helpful presence that helps our clients and families feel welcomed, cared for, and supported.

You’re a natural multi-tasker, a great communicator, and someone who can juggle phone calls, bookings, client questions, practitioner needs, and clinic flow while still making every person feel seen and taken care of.

What You’ll Do
Client Experience + Hospitality
- Create a warm, welcoming, and supportive environment for all clients and families
- Deliver an exceptional experience throughout the client journey, from booking appointments to taking payment and answering questions along the way
- Greet and support clients before, during, and after their appointments
- Help new clients complete intake forms and feel comfortable during their first visit
- Support follow-up care by helping clients book future appointments
- Build meaningful rapport with patients through clear, kind, and thoughtful communication
- Use our online booking system to document visits, follow-ups, and client touch points
- Answer phone calls, respond to voicemails and emails, and monitor occasional live chats in a timely and professional way
Practitioner Support
- Manage a busy clinic schedule and organize appointments for wellbe practitioners
- Communicate clearly with practitioners to support a smooth clinic flow
- Help create lead opportunities and support growth within the clinic
- Be a reliable, organized point of support for both clients and team members
Operations + Administration
- Uphold wellbe brand standards through opening, midday, and closing procedures
- Support the cleanliness, organization, and overall upkeep of the clinic
- Help with laundering massage linens and maintaining treatment room readiness
- Replenish supplies and assist with inventory tracking
- Notice what needs to be done and take initiative to keep the clinic running smoothly
Growth + Development
- Participate in professional development workshops and team trainings
- Take part in 1:1 mentorship with clinic leadership
- Support business and community development initiatives that help grow the clinic and strengthen our connection to the community
Who You Are
- You have 5+ years of experience in a customer service, hospitality, administrative, or client-facing role
- You are a true people person and genuinely enjoy making others feel comfortable and cared for
- You are highly organized and able to manage multiple priorities in a fast-paced environment
- You are resourceful, adaptable, hardworking, and collaborative
- You are a self-starter who takes initiative and looks for ways to improve the client experience
- You communicate clearly, warmly, and professionally, both in writing and in person
- You are comfortable using online systems and learning new technology
- Experience in a healthcare or wellness setting is an asset, but not required
