The Mobile Device & Procurement Coordinator’s role is to implement and manage the Hospital’s policy on the issuance of mobile devices including smartphones, cell phones, and iPads and for hospital staff as well as to support the procurement of technology devices (i.e. laptops, monitors etc.) as requested by hospital departments. The Coordinator will establish processes for the ongoing management of devices, purchases, vendor relations, costs, usage plans, and invoice processing. The position reports to Manager, Service Desk and User Support.
Provide excellent customer response and service on a daily basis
Manage mobile device policy, obtaining appropriate approval for each existing and new device.
Review user accounts monthly and adjust plans to suit business needs at the lowest cost.
Ensure a regular invoice review and sign-off by each user, with remission for personal use.
Manage and track new devices, redeployed devices, remove unused devices.
Track overall mobile expenses and report key metrics quarterly.
Provide monthly reporting, managing and allocating department charges accordingly.
Maintain device lifecycle management process
Evaluate and optimize processes to streamline activities while maintaining focus on cost management
Support user in understanding their plans and obtaining devices suited for their needs
Liaise with vendor for issue resolution, new devices, changes to plans and continuous usage analysis for maximized savings
Review department requests for purchase of new technology devices, acquire appropriate quotes, seek recommendations where required, confirm approvals, place orders, track and ensure appropriate chargebacks are applied
Track device related spends for verification and trending/reporting
Other duties as assigned
Strong written and spoken communication skills
Demonstrated experience in implementing procedures and supporting a user community >500
Familiarity with smartphone, cell phone, and plans an asset
Basic financial analysis skills,
Strong Microsoft Office skills, including MS Excel
Comfortable interfacing with staff across all levels of the organization
Ability to build consensus with stakeholders
Proven ability to establish project plan and work independently to execute plan
Self-starter and detail oriented
