Overview
We are seeking a dedicated and detail-oriented Medical Office Assistant to join our healthcare team. The ideal candidate will play a crucial role in ensuring the smooth operation of our medical office, providing exceptional administrative support, and patient care. This position requires a strong understanding of medical terminology, proficiency with electronic medical records systems, and excellent communication skills.
MOA Responsibilities:
- Greet patients and visitors warmly at the front desk, ensuring a welcoming environment
- Manage phone systems to handle incoming calls, schedule appointments, and address patient inquiries
- Maintain accurate electronic medical records (EMR) using systems such as Plexia
- Assist with administrative tasks including filing, data entry, and managing office supplies
- Coordinate patient flow by preparing necessary documentation for appointments and follow-ups
- Ensure compliance with health regulations and maintain patient confidentiality at all times
- Communicating with labs, healthcare providers, and insurance companies
- Contacting patients to provide information on services and protocols
- Scheduling and confirming appointments
- 15-minute Discovery calls booked by patients on Odyssey Ketamine Therapy
- Scheduling and confirming appointments
- Leading patients to exam rooms or other areas and explaining medical procedures
Qualifications, Education, Training and Experience:
- MOA course and proven experience in a medical office setting is preferred
- Criminal Record check
- Familiarity with medical terminology and administrative procedures relevant to healthcare
- Proficiency in using electronic medical records systems such as Plexia
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent verbal and written communication skills for effective interaction with patients and healthcare professionals
- Ability to work collaboratively within a team while also being self-motivated
- High attention to detail to ensure accuracy in all administrative tasks.
Location & Time:
- This is a clinic position at EntheoMed in Kelowna
- Starting at 15 hours per week with the opportunity to scale up as patient load increases
- Tuesday, Wednesday, Thursday
