Job Summary
The Collections & Registrar Intern supports the Art Gallery of Sudbury / Galerie d’ art de Sudbury’s ambitious exhibitions program. Reporting directly to the Director/Curator he/she/they will be responsible for a variety of curatorial and administrative tasks including exhibition research, planning, programs and events; managing contacts and correspondence; assisting with the coordination of didactic materials, and exhibition documentation; writing and editing exhibition-related copy; and registration activities.
DUTIES AND RESPONSIBILITIES:
Job Duties – Collections & Registrar
Exhibitions
· Supports the organization, preparation, and delivery of exhibitions, ensuring professional standards of collections care and display.
· Carries out installation and deinstallation tasks, including condition reporting, safe handling and movement of artworks, packing/unpacking, painting, sanding, hanging artwork and labels, and adjusting lighting.
· Assists with the coordination of off-site exhibition venues, including artist and lender agreements, transportation arrangements, installation, and take down of artworks.
· Provides logistical and technical support for traveling exhibitions, loans, and special projects, ensuring compliance with loan agreements and insurance requirements.
· Monitors and maintains environmental and security conditions in collection storage and exhibition spaces.
· Work collegially and supportively as a key member of a small team across multiple sites, including other duties assigned
Communications
· Communicates effectively with colleagues, artists, lenders, donors, and the public through clear oral, written, and research-based communication.
· Drafts, edits, and coordinates exhibition texts, labels, wall vinyl, web content, and newsletters, and oversees translation in both official languages.
· Conducts curatorial and collections-related research for exhibitions, publications, and acquisitions as required.
· Photographs exhibitions, artworks, and events for documentation and promotional purposes, ensuring adherence to institutional image standards.
· Obtains copyright permissions and maintains accurate credit lines for collection images, publications, and promotional materials.
Administrative
· Accessions, catalogues, photographs, and researches artworks entering the Permanent Collection, ensuring accurate documentation to support donations, acquisitions, and deaccessions.
· Maintains and updates collection records and the collections database (PastPerfect), ensuring accuracy, consistency, and compliance with professional standards.
· Provides logistical and administrative support for exhibitions and special projects, coordinating schedules, loan paperwork, and insurance documentation.
· Supports collections care through preventive conservation practices, condition reporting, and safe handling protocols.
· Requires a valid driver’s license
Skills & Experience
· Excellent organizational and research skills with strict attention to detail.
· Ability to manage multiple projects and meet deadlines while maintaining accuracy and professionalism.
· Strong oral and written communication skills in both English and French (asset).
· Experience with museum collections databases (PastPerfect or similar) and knowledge of current museum standards.
· Demonstrated ability to work independently and collaboratively in a fast-paced environment.
· Superior troubleshooting and analytical capacity.
· Knowledge of best practices in collections management, conservation, and exhibition handling.
Education & Training
· A degree or diploma in Museum Studies, Art History, Fine Arts, Cultural Heritage, Arts Administration, Archival Studies, or a related discipline.
· Training in Collections Management, Preventive Conservation, or Museum Registration practices is an asset.
· Familiarity with relevant professional standards and guidelines, such as those of the Canadian Museums Association (CMA), or Ontario Museum Association.
Pay: $40,248.39 per year
