The Real Estate and Properties team is recruiting for a temporary full-time Real Estate Coordinator for approximately 6 months. In this position you will assist in managing a diverse municipal real estate portfolio, working with consultants, and leading the ongoing positive client relationships with public and private agencies and the community. Reporting to the Manager and in support of other staff members, your duties will include administering commercial and residential properties; overseeing a shopping centre property management contract; managing District properties including recommending and negotiating rates, screening and selecting tenants, responding to tenant enquiries and complaints and overseeing maintenance and service; assisting with the inter-departmental year end budgeting process; negotiating, reviewing and drafting agreements; arranging and evaluating a variety of reports and legal documents related to real estate transactions; and inspecting and valuating real property for the purposes of rental, acquisition and sale.
In this role you will:
- Administer a varied portfolio of commercial and residential leased properties; screen and select tenants; negotiate terms, rates, renewals, prepare and execute agreements; oversee the collection of rent and other fees as applicable; respond to tenant enquiries and deal with complaints; conduct property inspections and prepare preventative maintenance plans for lease and or rental properties, complete related agreements with service suppliers for same; review and approve requests for tenant improvements; terminate tenancies in accordance with applicable agreements, legislation and directives; represent the District with the Residential Tenancy Branch in disputes and complaints.
- Negotiate agreements such as Licenses to Occupy, Encroachments and similar land use agreements; regularly review related documents and activities for agreement compliance.
- Oversee a shopping centre property management contract and related services, review and monitor same for return on the property and operating costs in relation to the state of the property.
- Liaise with the public, outside agencies, interest groups, and internal departments; provide input policies related to the use of District owned facilities; and interpret and explain applicable policies, procedures, requirements, and agreement provisions related to the work performed.
- Review existing real estate lease and related agreements for consistency and relevance to current needs; coordinate input from related District departments as necessary and draft and recommend changes.
- Prepare a variety of legal documents and reports related to real estate transactions; research and obtain information and material from a variety of sources; review non-standard leases, licenses, encroachment and rental agreements for completeness, and accuracy; obtain the advice of in-house legal counsel as necessary.
- Compile information related to projected property leases and rental revenue, related expenditures and estimated cost of planned building mechanical upgrades and maintenance; monitor budget variances for leased facilities and advise a superior of potential shortfalls; prepare reports and correspondence and maintain records and files.
- Perform related work as required.
The successful candidate will have:
- Considerable knowledge of the property management principles, practices, and procedures related to the work performed.
- Considerable knowledge of the agreements, procedures forms and documents related to the work.
- Considerable knowledge of the rules, regulations and municipal practices related to the work performed.
- Sound knowledge of the principles, practices and procedures used in inspection and of current lease rates and market trends.
- Sound knowledge of the legislation related to the work performed.
- The ability to administer a moderate sized and varied portfolio of commercial and residential leased properties.
- Ability to conduct field inspections and to negotiate with potential lessees, property owners and their representatives.
- Ability to deal tactfully and effectively with the public, outside agencies, interest groups, internal departments and a wide variety of stakeholders.
- Ability to prepare reports, correspondence and records related to the work.
Qualifications
Completion of a recognized real estate educational program such as the BCIT Real Estate Diploma or the UBC Urban Land Economics Diploma. A BC Class 5 driver’s license is required.

Salary: The hourly pay range for this unionized position is $44.22 to $52.21 (2024 rates)
Hours of Work: 35 hours per week
