We are currently looking for an organized, energetic, and Licensed Real Estate Assistant to join our team and directly support two of our busy, top-producing agents. If you love the fast-paced world of real estate but prefer a collaborative, supportive, and behind-the-scenes role, we would love to meet you!
The Opportunity
In this role, you will be the backbone of daily operations for two dedicated agents. You will handle everything from transaction coordination and client communication to listing prep and occasional field work. Because you are licensed, you’ll have the flexibility to step in where unlicensed assistants cannot—ensuring our clients always receive seamless, high-touch service.
Key Responsibilities
Transaction Coordination: Manage files from contract to close, ensuring all paperwork (amendments, tracking forms, etc.) is accurate, complete, and submitted to the brokerage on time.
Listing Management: Prepare listing packages, input properties into MLS/Paragon, coordinate with photographers/measurers, and draft creative property descriptions.
Client & Vendor Care: Act as a warm, professional point of contact for clients, lawyers, inspectors, and other agents to keep transactions moving smoothly.
Database & CRM Management: Maintain and update client databases, organize schedules, and track key dates (conditions, closing days).
Marketing Support: Assist with social media updates, feature sheet creation, and coordinating client appreciation gifts or mailouts.
Field Support: Utilize your license to host occasional open houses, attend inspections, or provide access to properties when the agents are double-booked.
What You Bring to the Team
An Active Real Estate License: Must be licensed (or in the final stages of licensing) with the Nova Scotia Real Estate Commission (NSREC).
Local Knowledge: Familiarity with the Halifax Regional Municipality (HRM) housing market.
Tech Savvy: Proficient with MLS/Paragon, WebForms/DocuSign, standard CRM software, and social media platforms.
Stellar Organization: A knack for details and the ability to prioritize tasks in a fast-moving environment.
People Skills: A warm, friendly, and professional demeanor. You know how to make clients feel valued and heard.
Reliability: A valid driver’s license and a reliable vehicle for occasional local travel.
