Position Summary:
The Office Services Assistant is responsible for performing routine office support service functions while working collaboratively with the Office Services Team to deliver quality customer service to internal clients.

What you will be doing:
Receive, sort, and deliver all incoming and outgoing mail and inter-office mail to and from all departments and/or designated mail stations on a regular schedule
Process end of day mail for Post Office and courier, determining postage and mode of transportation for various classes of mail and services required
Maintain and process records and paperwork for all incoming deliveries, outgoing shipping, daily postage usage and postage due accounts according to established procedures
Keep mailroom, storage and resource rooms clean and well organized
Monthly check list for fire extinguishers
Back up for Corporate Receptionist lunch and breaks as needed
Retrieve voice mail messages from general mailbox and transfer messages to the appropriate staff member
Greet and attend to all visitors upon arrival
Attend to caller and visitor needs and direct them to the proper individual or department
Ensure the reception area is kept in an orderly and well maintained fashion
Assist with Policy Assembly mailings in Sr. Office Assistant absence and when time permits
Empty recycling cans/bottles, ensuring all recycling products are packages in coordination with prescheduled pickups
Keep the kitchen/kitchenettes well stocked with coffee supplies on an ongoing basis
Maintain overall cleanliness of rooms, which includes loading and running the dishwasher and putting away dishes regularly
Provide coverage for Senior Office Assistant during planned and unforeseen absences
Other duties as assigned

What we are looking for:
Secondary school education, post-secondary diploma and/or equivalent on-the-job experience
Preference for previous experience in an office or customer service work environment
Experience with Microsoft Office suite of programs and solid data entry skills
Team player; seeks out assignments and takes ownership of expectations of the team
